DescriptionOur Culver City client is looking for an Administrative Assistant to join their team.Key Responsibilities : + Provide administrative assistance to manager and key team members, including tasks such as reconciling financial statements and assisting with high-level executive meetings logistics and meeting materials.
- Act as the first point of contact for visitors, offering greetings and guidance as necessary, and managing incoming calls to the organization.
- Oversee the reception area to ensure smooth communication flow and uphold a professional image, call volume is very light.
- Handle mail processing and general office tasks such as scanning, copying, and filing.+ Manage inventory and ordering of office supplies, as well as shipment needs.
- Collaborate with various departments for office equipment maintenance and facility repairs.+ Organize staff lunches and maintain employee snack and food supplies.
- Provide support in managing company accounts and databases.+ Maintain confidentiality and demonstrate strong customer service skills in all interactions.
Qualifications : + Previous experience in administrative roles is required. We are looking for someone who wants to be a career assistant.
- Proficiency in travel research and making travel arrangements.+ Proficiency in various software and technology platforms, including Microsoft Office Suite, Adobe,* MUST have experience with Concur, SharePoint experience preferred, and other cloud-based systems.
- Excellent organizational skills with the ability to prioritize tasks effectively.+ Strong interpersonal and communication skills, with the ability to interact with individuals at all levels.
- Demonstrated discretion in handling confidential information.+ Prior working experience in an academic leadership environment or corporate environment is advantageous.
Requirements- At least 7 years of Administrative Assistant experience preferred- Candidate must have substantial computer experience including word processing, spreadsheets and presentation software, as well as databases and customer database systems- Excellent verbal and written communication skills- Receptionist Duties experience desired- Office supply and equipment ordering experience required- Deep understanding of Concur- Adeptness in SharePoint- Foundational knowledge in Mac Computers- Salesforce Administration experience highly desired- Familiarity with using the internet for research tasksIf you are a self-starter who is passionate about supporting a dynamic and growing company and looking to thrive in a creative environment, we would love to hear from you!
