We have a great new opportunity for an Executive Assistant with our client based in Phoenix, AZ! The Executive Assistant will provide executive, administrative, and development support to the President and Board of Directors, as well as to the Executive Leadership Team.
Responsibilities :
- Oversee a busy schedule of appointments, manage expense reports, draft confidential correspondence, arrange complex travel plans, and prepare necessary documents for travel meetings.
- Act as a liaison for the President and CEO, communicating with Board members, donors, affiliate leaders, program partners, and other external stakeholders regarding the CEO's initiatives.
- Process and submit the CEO's expense reports and corporate credit card reconciliations, as well as review and approve direct reports' expenses.
- Research, prioritize, and follow up on sensitive or confidential issues addressed to the President, determining the appropriate course of action.
- Ensure smooth communication between the President's office and internal departments, maintaining credibility, trust, and support with senior management staff.
- Track and manage CEO-sponsored projects, draft reports and presentations, liaise with project leads, and report on progress.
- Facilitate the CEO's signing and authentication of organizational legal documents and letters.
- Obtain CEO review and approval on organizational communications, providing input and edits as needed.
- Coordinate with other executive assistants for additional support during peak times.
- Manage the annual budget and regular expenses for the CEO's cost center.
- Ensure all performance reviews for the CEO's direct reports are completed.
- Manage the scheduling, assembly, and distribution of the Board Book prior to each meeting.
- Assist board members with travel arrangements, lodging, and meal planning.
- Maintain discretion and confidentiality in relationships with all board members.
- Comply with bylaws regarding board and board committee matters, including advance distribution of materials before meetings.
- Take minutes during board meetings on behalf of the board secretary.
- Communicate details, schedules, expectations, decisions, and projects between the ELT and the Board as requested.
- Manage the Board calendar and teleconference account, setting up conference calls for the Board as needed.
- Manage the annual budget and regular expenses for the Board of Directors cost center.
- Perform other duties as assigned.
Qualifications :
- Experience level : Executive
- Bachelor's degree highly preferred.
- Minimum of 5 years of experience supporting C-Level executives, preferably a CEO or President in a global organization.
- Experience managing projects in various capacities.
- Experience working with board members and preparing for board meetings is strongly preferred.
- Experience organizing meetings, preparing and monitoring budgets, and assisting with travel and hotel accommodations.
- Excellent commitment to service and alignment with the organization's values.
- Proficiency in Google platforms, Microsoft Office products, and virtual technologies such as Skype and Zoom.
- Excellent interpersonal skills with the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
- Excellent organizational skills with the ability to prioritize multiple tasks and attention to detail.
- Dedication to service, working with a broad range of people, including major donors, Board members, Executive leaders, and others.
- Highly resourceful team player who is also effective independently.
- Excellent business sense, able to decipher priorities and make sound judgment calls.
- Proficiency in spoken and written English.
- Ability to travel up to 20% of the time per year, both domestically and internationally, including potentially insecure locations.
