The Team

The Office of the Chief Executive Officer (OCEO) supports the institutional responsibilities of the CEO for the Bill & Melinda Gates Foundation.

The OCEO encompasses three sub-teams : a team which helps the foundation show up as a good neighbor in the central Puget Sound region, a team that guides the strategic use of co-chair and CEO time, and the CEO Leadership & Engagement (CLE) team which supports all aspects of the CEO’s role and responsibilities in enabling the success of the foundation and our shared mission.

Members of the OCEO are dedicated to the work of the foundation and prioritize supporting internal and external stakeholders for collective success.

The team is highly collaborative, working with teams and colleagues across the foundation, and flexible, ready to adapt and respond to emerging needs and priorities.

Your Role

As the Program Manager, Office of the CEO you will join the CLE team and be part of our work to enable the foundation’s mission.

You’ll bring organizational savvy and project management expertise to the work of the office. You are highly organized and proactive, with impeccable attention to detail, energy for solving problems, and are ready to be an exceptional ambassador for the foundation’s values (Inclusion, Rigor, Collaboration, Optimism, Innovation) commitments, and priorities (One Global Foundation, High Integrity Culture, Impact First).

As an individual contributor, you’ll work across various processes, projects, and initiatives, bringing your skills and expertise to enable the success of each.

You will work in a hybrid virtual arrangement from our Seattle, Washington office, with an expectation of working in-person at least 50% time.

This role is ineligible for remote work. We are only reviewing Seattle-based candidates or those with a desire to relocate to Seattle, Washington.

This position reports to the Deputy Director for Strategy, Planning and Management (DDSPM), Office of the CEO.

What You'll Do

Project & Portfolio Management 50%

  • Bring your project management expertise to the planning and execution of a range of projects including major leadership engagements, cross-foundation events, special initiatives, and team operations.
  • Maintain team and foundation assets that support integrated portfolio management activities such as project plans, roadmaps, and / or databases.
  • Develop analytical and written reports to provide colleagues and leaders with updates on progress and support data-driven decision-making.
  • Manage a rigorous and inclusive process to set the foundation’s annual calendar including Foundation Weeks, Meeting Light Weeks, and Team Weeks.

Office of the CEO Operations 35%

  • Partner with DDSPM to develop, implement and manage rhythm of business meetings, events, and communications.
  • Manage and continuously improve team infrastructure including norms, processes, and tools that support efficient and effective operations.
  • Provide ongoing advice and input to strengthen team operations, culture, and overall effectiveness.
  • Own knowledge management resources including those maintained by OCEO on behalf of the full foundation.
  • Establish knowledge management norms and processes, including confidential and restricted information, and work with colleagues to ensure their implementation and monitor adherence.
  • Actively contribute to OCEO’s Diversity, Equity, and Inclusion priorities through your own learning and engagement, participating in one or more working groups, and supporting our overall goals and commitments.

Leadership Engagement 15%

  • May support special projects such as senior or executive leadership events.
  • May support Board, Chair, or CEO briefings, drafting correspondence, or other related activities.

Your Experience

  • 7+ years of experience with Bachelor’s degree or advanced degree.
  • Expertise in knowledge management, project management and / or change management.
  • Proficiency in Microsoft Excel, PowerPoint, Word, SharePoint, Outlook and Teams. Proficiency in additional project management tools (e.g. Airtable) a plus.
  • Impeccable professional discretion.
  • A track record of process improvement and working for optimal efficiency and effectiveness.
  • Exceptional attention to detail in proofing materials, tracking projects and managing follow-ups.
  • Strong analytical and written and oral communication skills.
  • Experience analyzing data and information to generate and present options and recommendations. Experience with knowledge management practices and principles desired.
  • Ability to act independently to select methods and procedures on assignments.
  • Works independently, balances multiple priorities and timelines.
  • Project management experience and skills.

The salary range for this role is $149,800 to $224,600 USD. As a mission-driven organization, we strive to balance competitive pay with our mission and new hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint.

Actual placement in the range will depend on a candidate’s job-related skills, experience, and expertise, as evaluated during the interview process.
