SUMMARY
The Total Rewards Manager drives the strategy and execution of HR Green’s Total Rewards program. This role leads the design and delivery of benefits, wellness, leave, and compensation initiatives, serving as the main point of contact for these areas.
Key responsibilities also include HRIS and records management, 401(k) administration, policy implementation, intranet site management, leave administration, compliance reporting (EEO, ACA, OSHA), and overseeing merit and bonus cycles.
By partnering with internal stakeholders and external partners, the Manager ensures our Total Rewards align with company goals to attract, engage, and retain top talent.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Benefits
- Designs and delivers employee benefits programs, including but not limited to group health plans, flexible spending accounts, health savings accounts, dental, vision, disability and life insurance.
- Serves as the primary benefits contact both internally and externally.
- Manages processes and procedures for benefit enrollments, changes and terminations.
- Oversees the processing and monitoring of leaves of absences, including FMLA, disability and workers’ compensation in accordance with applicable State and Federal law.
- Ensures regular reconciliations of benefits and assists with escalated auditing matters.
- Audits benefit plans and invoices regularly and supports the preparation of 5500 reports.
- In close coordination with Human Resources leadership, actively participates in and leads annual benefits strategy meetings, making recommendations regarding plan design of benefits programs which support the company’s strategic goals.
- Implements process improvements, such as benefit enrollment workflows, leaves of absence workflows, and integrating new HR software systems, to enhance efficiency and accuracy in benefits and leave administration.
Resolves complex employee benefit issues.
- Remains knowledgeable of, advises on and executes in accordance with State and Federal legislation and regulations affecting benefits programs and leave entitlements.
- Leads the annual open enrollment process, including developing and updating collateral materials to enhance understanding of the company’s benefits programs and delivering employee open enrollment presentations.
- Responds quickly and accurately to inquiries and issues from employees, vendors and HR team members.
Compensation
- Oversees and administers the company's compensation programs, ensuring alignment with company strategy
- Analyzes market trends, performs detailed compensation analysis, and recommends competitive and equitable salary positioning
- Develops and maintains pay and grade structures to reflect market data
- Provides training and support for compensation-related processes (including merit, bonus, promotions, adjustments, and new hire offers)
- Conducts and analyzes salary surveys to maintain up-to-date market data
- Leads the execution of HR Green's Bonus Program, including developing and managing bonus pool models
- Reviews compensation programs, recommends changes, and implements adjustments to ensure market competitiveness
Risk Management / Reporting
- Acts as liaison with the company’s workers’ compensation provider.
- Makes recommendations for and manages relationships with outside vendors for pre-employment screenings, including background checks.
- Collaborates with the Fleet Administrator to ensure compliance with the company's Motor Vehicle Safety Policy and conducts motor vehicle record (MVR) reviews.
- Ensures completion of OSHA 300 logs for each site.
- Oversees and completes Affirmative Action (AA) and Equal Employment Opportunity (EEO) reporting Analyzes AA / EEO data with HR leadership to identify and address potential concerns.
- Supports administration of company policies & procedures as it pertains to AA and EEO goals, including the creation and implementation of action plans, as appropriate.
- Responds to audit requests and collects, tracks and reports on metrics in support of the Human Resources function.
- Actively participates in and supports M&A activities including due diligence and integration.
Systems
- Manages the HRIS system, ensuring smooth operation and data integrity. Monitors and may support data entry into systems.
- Directs compensation, performance management, learning management, benefits administration and leave activities and functions within applicable systems and processes.
- Maintains Human Resources page on Company intranet.
- Oversees personnel file maintenance and ensures compliance with legal regulations and company policy.
- Implements improvements to streamline offboarding processes
- Serves as the main liaison with corporate departments, including IT, Finance, Marketing, Administration to communicate and coordinate activities relating to terminations.
- Develops and implements procedures to accurately track employee attrition and may support the reporting and analysis of other metrics as assigned.
EDUCATION AND EXPERIENCE
- Bachelor’s degree in Human Resources Management, Business Administration, or a related field
- PHR or SHRM-CP certification preferred not required
- Minimum of 8-10 years of progressively responsible experience in benefits and compensation strategy
- Administration of FMLA, STD, and worker’s compensation across multiple states
- Experience with mergers and acquisitions is a plus
