Job Description :

Primary Duties and Responsibilities (details of the basic job functions) :

  • Travel Event Coordination
  • Steward the business development for centralized in-person and hybrid consumer events.
  • Drive cross-functional engagement with product mgrs., marketing, sales, and operations teams to coordinate promotional event strategies.
  • Coordinate and communicate event logistics to effectively host consumer events to drive leads and sales.
  • Serve as main travel partner liaison to communicate, confirm, and coordinate participation in events.
  • Maintains and facilitates process for venue contract negotiation, signature, and payments, ensuring compliance with procurement.
  • Support management of event budgets, partner participation fees, and logistic expenses.
  • Innovation & Business Development
  • Manage travel partner in-market offer initiative, ensuring the agents can access the latest in-market travel offers to increase savings combinability and competitive advantage.
  • Supports agent incentive processing in partnership, and support of, the product team.
  • Collaborate on co-op billing process and facilitate improvement in the process and document the process.
  • Source and leverage digital innovations to enhance travel's hybrid promotions and engagement strategies, surfacing and supporting pilots.
  • Work directly with marketing on campaign development, collateral review, and promotions.
  • Assist with special projects and campaigns.
  • Support and continue to develop process improvements to Salesforce lead and opportunity management process for events.
  • Work with various departments and business partners in support of operations, strategy, and special project needs and may develop / assist with communications.
  • Participate as requested in key industry forums and stay abreast of communications from partners such as Tourism Cares.
  • Drive efficiencies to improve productivity and reduce costs across all processes and practices.
  • Analyze & Report
  • Provide timely sales reports and updates on ACG promotions.
  • Monitor leads and opportunities in Salesforce dashboard.
  • Provide key metrics for monthly and quarterly travel scorecards and update meetings.
  • Assess the traveler experience and identify opportunities for improvement and constructive collaboration across other strategies.

II. Required Qualifications (these are the minimum requirements to qualify)

Education (include minimum education and any licensing / certifications) :

College coursework in Business Administration, Marketing, Communications, Advertising, or extensive experience in a related field.

Experience :

  • 3+ years of travel industry experience and strong knowledge of travel agency operations.
  • Planning, developing, and / or implementing promotional and marketing events.
  • Researching, analyzing, identifying, and resolving business problems.
  • Understanding of Salesforce functionality.
  • Project team member.
  • Negotiating and / or implementing business contracts.

Knowledge and Skills :

Knowledge of :

  • Travel industry and business trends.
  • Company products and services.
  • Current digital engagement tools and technologies.

Ability to :

  • Communicate effectively and clearly.
  • Understand product placement and positioning for consumer consumption.
  • Identify areas of inefficiency and provide recommendations to streamline processes.
  • Prepare and deliver effective presentations both internally and externally.
  • Develop and manage multiple initiatives simultaneously.
  • Identify potential growth opportunities and implications to the business operation.
  • Effectively analyze data and surface relevant assumptions to drive business goals.
  • Ability to collaborate effectively and efficiently with cross-functional teams.
  • Ability to effectively manage programs and initiatives with minimal oversight in a remote environment.

Skillset : (What is the skillset needed to perform the functions of the job?)

  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook, etc.).
  • Exceptional communication skills - both verbal and written.
  • Keen understanding of digital engagement capabilities.
  • Salesforce.
  • Analytical mindset.

III. Preferred Qualifications

  • Experience in event coordination.
  • Knowledge of On24 and Salesforce platforms.
  • Exceptional communication skills - both verbal and written.
  • Creative design and development skillset.

IV. Work Environment

Primarily work in a remote / virtual environment. 10-20% travel is required based on leadership needs and event management.
