Job Summary :
Under general supervision of the Accounting Manager, the Payroll Specialist is responsible for processing weekly union and non-union payroll for 100-200 employees, administering weekly certified payroll, labor compliance auditing and various other tasks pertaining to the company’s payroll department.
Key Responsibilities :
- Payroll administration : Process in-house weekly certified payroll from start to finish. Review digital timecards, process checks / direct deposit, ensure employees are paid accurately and on time.
- Payment processing : Make weekly payroll related payments (taxes, garnishments, 401k, etc.).
- Document Preparation : Prepare weekly certified payroll reports using internal reporting forms as well as programs such as LCP Tracker, Elations and California DIR website
- Ensure compliance : Internally audit all aspects of labor compliance on public works projects, skilled and trained compliance and complete all other documents associated with prevailing wage projects up to and including final affidavits.
Work closely with Accounts Payable to make sure all subcontractors are substantially compliant with all prevailing wage requirements.
Assist with payroll related audits (Corporate, Workers Compensation, OCIP, etc.).
- Union payment : Process and submit monthly union reports and payments.
- Reporting : Create and submit monthly OCIP reports.
- Tax filing : Prepare and submit quarterly payroll tax filing and payments for IRS, California, and Nevada. Prepare and submit year-end reporting and filings to IRS, California, and Nevada.
- Unemployment claims : Process unemployment verifications and audits.
- Continuous Improvement : Continuously seek opportunities to improve processes, enhance customer satisfaction, and increase overall efficiency.
- Collaboration : Work closely with Accounting Manager and other team members to align company objectives and goals of timeliness, accuracy, and problem solving as it relates to payroll processing and compliance reporting
- Miscellaneous : Perform other assigned duties as required.
Desired Qualifications :
- Possession of a bachelor’s degree in business, accounting, or relevant work experience.
- Experience performing certified payroll in a union environment.
- Progressive accounting and finance professional experience.
- Strong understanding of construction and project accounting fundamentals.
- Understanding of GAAP and financial reporting.
- Proficient in Sage, Viewpoint, Procore, Acumatica or another related construction ERP.
- Strong interpersonal and communication skills, both verbal and written.
- Excellent critical-thinking and problem-solving abilities.
- Ability to work independently and as part of a team.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite and CRM software.
- Valid driver's license.
