Our client, an event planning and design company, is hiring a talented Creative Project Coordinator to join their in-house design studio.

In this role you will manage all creative projects from concept to completion. You will be responsible for ensuring that projects move through the pipeline and finished on time and within budget.

The ideal candidate will have a knack for managing multiple competing deadlines and will have strong prioritization skills.

This individual will have a strong personality, in a team-building way. 3-5 years max of project management within an in-house studio or creative services team is required.

Experience working with high profile brands and events is preferred.

JOB SUMMARY

We are seeking a dynamic and organized individual to join our in-house design studio as a Creative Project Coordinator This role is pivotal in facilitating the smooth operation of the in-house studio’s projects (graphic design / motion graphics, technical drawings, one-off unique creative projects and events), ensuring deadlines are met, and quality standards are maintained.

The ideal candidate will be quick and nimble with a get-it-done attitude who is detail-oriented, possesses excellent communication skills, and thrives in a collaborative, deadline-driven environment.

RESPONSIBILITIES

  • Support the execution of all project and delivery excellence
  • Prioritize and monitor project schedules, report on project progress, and manage any obstacles as they arise
  • Provide quality assurance on schedules and creative deliverables from concept development to final execution
  • Update internal status reports on a regular basis
  • Manage with Studio Director support preparation of project scopes of work, schedules and debriefs
  • Be the "go-to resource" for all project workflow details for the studio
  • Attend client meetings on behalf of the Studio Director as needed
  • Recap meetings, decisions and deliverables in writing / status reports (due dates, internal directions and documented history), for dissemination to the team
  • Ensure proper handling of confidential data to safeguard against unauthorized access or disclosure
  • Manage external printing resource relationships and coordination of schedules and deadlines
  • Source and manage relationships with external partners for unique production needs for designers
  • Assemble customized event materials
  • Manage quality control standards for all projects including grammar, revisions and edits
  • Provide basic graphic design skills for minor copy edits and straight forward projects as needed

REQUIREMENTS

  • Bachelor’s degree
  • 3-5 years max of experience in the creative field - experiential or events agency is ideal
  • Clear communicator with a collaborative approach
  • Strong problem-solving and follow-through skills
  • Exceptional attention to detail.
  • Process oriented with flexibility when needed
  • Excellent organizational skills with the ability to prioritize deadlines and manage multiple tasks.
  • Proficiency in Microsoft Office Suite (Word and Excel) and Adobe Creative Suite (Illustrator, InDesign, Photoshop)
  • Forward-thinking and highly self-motivated
  • Strong understanding of the creative process and timing of multi-channel materials for concept through production
  • Ability to work in a fast paced, deadline-driven environment and adapt quickly to multiple changes, requests and deadlines
  • Experience with project management software, implementing project management processes and best practices, huge plus.
  • Able to work overtime; as well as occasional nights, weekends and On-call for an event
