Seeking a Temporary Administrative Assistant to join The Academy of International Studies - Bloomfield, CT

Position Purpose

Provides reception duties and a wide variety of complex and confidential administrative tasks, communicating information, assisting and ensuring compliance with department / program policies and procedures.

Essential Job Functions

  • Composes documents and correspondence for the purpose of requesting or providing information, confirming events, etc.
  • Prepares copies and distributes notices, memoranda or other correspondence for the purpose of informing employees, students, parents, and others regarding activities, events or other work-related matters.
  • Attends meetings as assigned for the purpose of conveying and / or gathering information required to perform functions.
  • Assists in maintaining the calendar for the program for the purpose of coordinating the scheduling of work-related appointments, activities, meetings,etc.
  • Assists in planning and scheduling events and activities.
  • Assists in maintaining documents, confidential files and records for the purpose of providing up-to-date reference for compliance.
  • Answers telephone calls, and provides information and assistance to callers.
  • Serves as liaison with outside organizations.
  • Monitors office supply needs.
  • Acts as a liaison for IT, office equipment and facility needs.
  • Coordinates and manages confidential students' Individualized Education Plans and related paperwork.

Uses standard office equipment such as personal computers, copy machines, fax machines, and telephones.

Knowledge, Skills and Abilities

  • Ability to describe problems, verbally and in writing, to supervisor as required.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
  • Ability to carry out instructions furnished in written or verbal form.
  • Ability to use personal computers and software applications, including Microsoft Office products.
  • Ability to problem solve job-related issues.
  • Ability to work with a diverse group of individuals.
  • Ability to process paperwork accurately and in a timely manner according to standardized procedures.
  • Ability to maintain confidentiality of information.
  • Strong organizational and time management skills.
  • Knowledge of office management procedures.

Physical and Mental Demands, Work Hazards

Works in standard office and school building environments.

Qualification Profile

  • High school diploma or equivalent required, Associates or Bachelor's degree preferred.
  • 2 years previous office experience preferred.
  • Bilingual preferred.
