Job Description : Legal Administrative Assistant
California Law Office
Position Overview
We are seeking a detail-oriented and organized Legal Administrative Assistant to join our California law office. The successful candidate will provide vital administrative support to attorneys and legal staff, ensuring the efficient operation of daily activities in a fast-paced legal environment. This position is a hybrid role, allowing for both remote and in-office work in our Boston office location. Standard hours are 12 : 00 pm to 8 : 00 pm EST, but scheduling can be flexible to accommodate individual needs. This role requires excellent communication skills, a strong work ethic, and the ability to handle confidential information with discretion.
Key Responsibilities
- Assist attorneys with drafting, proofreading, and filing legal documents and correspondence.
- Manage client communications, including scheduling meetings, answering phone calls, and responding to emails.
- Maintain and organize physical and electronic case files in compliance with California legal standards.
- Coordinate calendar appointments, court dates, and deadlines for attorneys and staff.
- Process incoming and outgoing mail, including service of process and legal filings.
- Prepare and submit court documents through electronic filing systems (e.g., e-Filing for California courts).
- File, organize, scan, copy and e-fax legal documents and other mailings in a timely manner
- Conduct basic legal research and gather information relevant to cases under attorney supervision.
- Handle invoicing and expense reporting.
- Ensure compliance with confidentiality policies and procedures.
- Assist with research projects as needed
- Register attorneys for conferences, speaking engagements or webinars
- Other responsibilities as requested.
Requirements : Qualifications
High school diploma or equivalent required; associate or bachelor’s degree preferred.Previous experience (3+ years) in a legal administrative or law office setting strongly preferred.Familiarity with California legal procedures, court filing systems, and terminology.Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and legal practice management software.Excellent written and verbal communication skills.Strong organizational and time-management abilities.Work collaboratively with attorneys and other colleagues as well as external clients at all levels.Ability to work independently with little or no supervision and as part of a team.Ability to receive multiple directives in a fast-paced environment and prioritize accordingly.Discretion and professionalism in handling sensitive information.Seeks continuous development opportunities.
