Front Desk Administrator
We are seeking a Front Desk Administrator to fill a key role in our Tacoma, Washington office. The perfect Front Desk Administrator enjoys a fast pace and juggling multiple priorities. They don't know what it means to sit back and wait because they are always proactively seeking out ways to be more efficient, get tasks completed on time, and provide excellent support. This position performs a variety of administrative functions, including being the first point of contact with internal and external customers. They are problem solvers who save the day with their resourcefulness and ability to successfully navigate obstacles.
The Role :
- Answers company phones, provides information, and directs callers to the appropriate parties
- Greets and signs in guests / visitors
- Ensures effective communications with management, callers, customers, and staff
- Sorts, opens and distributes mail daily and handles interoffice mail
- Receives incoming shipments
- Prepares shipments to go out via various vendors and customers
- Orders office supplies for all office locations and departments
- Maintains conference room calendars
- Prints business cards
- Orders and maintains inventory of uniforms, distributing appropriately to employees
- Performs general data entry
- Manages employee certificates
- Schedules birthday and anniversary calls
- Performs administrative duties for other departments as needed to see projects to completion
- Interacts effectively with internal and external customers
- Assists with office management tasks / duties
- Serves as backup to travel coordinator
- Conducts reference checks
