Executive Assistant to the CEO
About the Role
Our client, a dynamic and growth-oriented organization , is seeking an Executive Assistant to the CEO to provide high-level administrative and strategic support. This role is ideal for a proactive professional who thrives in a fast-paced, high-impact environment and enjoys working closely with senior leadership to ensure operational excellence.
Reporting directly to the CEO, this individual will serve as the trusted gatekeeper, managing critical communications, complex scheduling, board-level coordination, and strategic initiatives. The ideal candidate will possess exceptional organizational acumen, polished communication skills, and the ability to anticipate needs before they arise.
The position will begin on-site for training and onboarding , with the opportunity to transition into a hybrid schedule —working three days in the office and two days remotely once fully trained and proficient in the role-providing both collaboration and flexibility.
Key Responsibilities
As the Executive Assistant to the CEO, you will play a pivotal role in ensuring the smooth and efficient operation of the executive office. Your responsibilities will include :
Calendar and Schedule Management :
Manage and maintain the CEO’s calendar, appointments, and travel arrangements with precision and foresight. Anticipate scheduling conflicts and proactively prioritize meetings to align with business objectives.
Communication and Correspondence :
Draft, review, and manage emails, reports, memos, and other communications on behalf of the CEO. Serve as the primary liaison between the CEO and internal / external stakeholders, maintaining the highest level of professionalism and confidentiality.
Meeting Coordination :
Coordinate and prepare materials for meetings with senior leaders and the Board of Directors. This includes agenda development, document preparation, briefing materials, and detailed note-taking with follow-up on key action items.
Travel and Logistics Management :
Plan and oversee complex domestic and international travel itineraries, including accommodations, ground transportation, and detailed logistical coordination. Process travel expenses and reimbursement reports in a timely manner.
Strategic Support :
Track progress on executive priorities and company initiatives, ensuring deadlines and deliverables are met. Support the CEO in executing strategic plans and special projects across departments.
Board Leadership Liaison :
Act as a central point of coordination for the Board of Directors, including managing board communications, preparing reports, and organizing key governance materials.
Event and Project Assistance :
Assist with planning company events, executive meetings, and leadership retreats. Collaborate cross-functionally to support high-visibility projects led by the CEO.
Confidentiality and Professionalism :
Handle sensitive information with absolute discretion, maintaining confidentiality and trust at all times.
Qualifications
Education : Associate’s degree or equivalent professional experience required.
Experience : 3–10 years of experience as an Executive Assistant or in a similar high-level administrative support role.
Technical Proficiency : Advanced knowledge of Microsoft Office Suite and related business productivity tools.
Communication : Exceptional written and verbal communication skills with the ability to interact professionally at all levels of the organization.
Organization : Strong ability to multitask, manage competing priorities, and maintain attention to detail under tight deadlines.
Professionalism : Demonstrated discretion, sound judgment, and a polished, service-oriented demeanor.
Adaptability : Ability to thrive in an entrepreneurial, fast-moving, and collaborative environment.
