Responsibilities :
- Handle incoming calls professionally and direct them to the appropriate departments or individuals.
- Perform accurate data entry to maintain and update records and databases.
- Look up and ordering parts for HVAC related supplies
- Organize, file, and retrieve documents to support smooth office operations.
- Coordinate schedules, appointments, and meetings to ensure efficiency.
- Provide administrative support to various teams, including preparing reports and correspondence.
- Monitor office supplies and place orders as needed to maintain inventory.
- Assist in maintaining a clean and organized workspace.
- Communicate effectively with team members to facilitate task completion.
- Respond promptly to inquiries and resolve minor issues to support daily operations.
- Self-motivated with little to no assistance
- Proficiency in data entry and familiarity with office software such as Microsoft Office.
- Strong communication skills, both verbal and written.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Detail-oriented approach and excellent customer service skills.
- Strong organizational skills with keen attention to detail.
- Experience managing receptionist duties is a plus.
- High school diploma or equivalent; additional certifications in administration are advantageous.
