As our Office Manager / Bookkeeper , you are essential in supporting smooth office operations in our closely held family business. From accounting support to recognizing employee milestones, you are the “glue” that helps keep the office running smoothly.

Office Manager / Bookkeeper – Your Job Duties

Administrative Support

  • Implement office procedures, control correspondence, and maintain electronic filing systems
  • Maintain office supplies and other essential items
  • Order company logo merchandise and marketing materials
  • Maintain accurate and up-to-date records of all business licenses, permits, and insurance policies
  • Ensure compliance with all relevant regulations, including safety reporting requirements and labor compliance posters
  • Maintain third-party admin companies, IT, insurance, and janitorial services

Accounting Support

  • Accounts payable - Ensures timeliness and accuracy for processing invoices
  • Accounts receivable assistance – receiving checks, posting payments
  • Obtain certificates of insurance for vendors and customers
  • Process company credit card and employee health benefits
  • Assist with the set-up of new jobs, vendors and customers in the Foundation ERP system
  • Employee Relations / Human Resources Support

  • Track employee paid time off
  • Plan company events
  • Track training certificates and licenses, filing employee documents
  • Spearhead employee recognition and milestones (birthdays, anniversaries)
  • Maintain company calendar
  • Office Manager / Bookkeeper - Required Skills, Experience & Culture Fit

    You have :

  • Prior experience in a construction environment
  • Prior experience or exposure to accounting functions, including accounts payable and bookkeeping duties
  • Comfort and excitement working in a small business environment
  • You are reliable – you are the “go to” when things need to get done
  • Ability to work in office daily in San Francisco, California (Monday through Friday)
  • Office Manager / Bookkeeper – You Might Have

  • Prior exposure to Foundation ERP software or SAGE 100 Contractor
  • Prior experience with SF Public Works
  • Office Manager / Bookkeeper – Benefits & Pay for You

    You will be provided with 100% covered Kaiser medical insurance, 100% paid vision insurance, 100% paid dental insurance, paid time off, paid union holidays and 401k plan with company match.

    Your compensation will be $90,000 to $100,000 salary plus an additional annual incentive bonus potential based on company and individual performance.

    This role is located in office in San Francisco, California. You will be provided with a dedicated parking space, at no cost to you.

    You will work a consistent 8-hour workday with a pre-set daily start time that can be flexed between 7 : 00 AM and 8 : 00 AM.
