Position Summary
The Benefits Coordinator is responsible for day-to-day leave administration and provides support for overall benefits administration.
Primary Duties And Responsibilities
Promotes superior guest service
Must possess excellent inter-personal skills with an ability to foster a supportive and enabling team environment
Responsible for day-to-day leave administration
Work with third-party administrator to ensure timely and compliant communication to team members with a potential need for leave
Meet with team members to share leave entitlements and related company benefits
Work with team members to develop leave plan / schedule
Monitor and maintain leave schedules and update payroll / earnings as needed
Submit employer responses to and follow up on disposition of short-term disability claims
Track leaves and return to work dates and communicate with managers / departments
Work cooperatively with Health & Safety Specialist on pandemic-related leaves
Support Risk and Safety Manager on workers compensation claims, inquiries, return-to-work process, etc.
Support day-to-day benefits administration for 1200+ team members
Advise team members on eligibility, coverage, and other benefits matters; ensure timely enrollment in, changes to, and termination of coverage; provide education and customer service related to all benefits
Monitor Benefits Inbox and provide responses to benefits-related messages. Escalate to Benefits Supervisor as needed
Assist with presenting benefits enrollment and education meetings for new hire orientation, open enrollment, and as needed
Prepare and distribute benefits packets and email messages to eligible team members
Assist Benefits Supervisor as needed with open enrollment, distribution of benefits communications and required notices, benefits-related data entry, audits, and other related duties
Serve as primary backup to Human Resources Assistant requiring regular and reliable attendance and punctuality, including daily coverage for short periods of time and full-time coverage for absences
Create and maintain team member personnel records, including physical and / or electronic filing and indexing
Provide general support to HR functions, as needed / requested
Other duties as assigned
Minimum Qualifications
High School Diploma / GED; Recognized Equivalent of a High School Diploma (RED) or Foreign High School Diploma (FHD)
Minimum two years' professional experience in professional office setting; Human Resources experience preferred
Must possess excellent interpersonal skills with an ability to foster a supportive and enabling team environment.
Understanding of and willingness to develop thorough knowledge of employee benefits administration and related regulations (COBRA, ERISA, 401(k), medical, dental, vision, Section 125 & 132, etc.)
Strong customer service skills
Effective oral and written communication skills
Relevant experience requiring a high degree of discretion, maintaining confidentiality. and protecting team members' privacy
High level of proficiency in Microsoft Office; particularly Outlook, Word, and Excel (intermediate Excel skills desired)
High degree of accuracy in data entry and overall attention to detail; experience must demonstrate meticulous attention to detail and passion for accuracy
Experience working in a highly confidential environment with access to sensitive information and obligation to maintain the highest level of privacy and confidentiality
Ability to file records in alphabetical and numerical order with speed and accuracy, both physically and electronically
Must be able to work effectively with others and communicate with team members at all levels, including managers, directors, and executives. Must be comfortable holding team members, including management, accountable to the prescribed processes and procedures
Able to prioritize effectively along with the flexibility to quickly shift priorities to meet business needs.
Extremely organized; able to work on multiple projects or tasks, often with large volumes of documents and records
Experience maintaining accurate data
Excellent organizational skills
Ability to consistently meet daily, weekly, and monthly deadlines
Must be able to sit or stand, using a computer and telephone most of the workday
Must be able to work in a fast-paced environment with frequent interruptions
Must be able to work various shifts and flexible hours
Must be willing to work in a smoking environment.
Must be willing to adhere to company health and safety measures.
Desired Qualifications
Familiarity with and understanding of benefits and leave administration
Experience creating and maintaining benefits-related intranet content
