About the Role
We're seeking an Office Coordinator to support day-to-day operations across administrative, accounting, and inventory functions. This role is ideal for someone who thrives in a fast-paced environment, enjoys organizing workflows, and takes pride in maintaining accurate records and professional communication.
Key Responsibilities
Accounting & Administrative Support
- Process accounts payable and receivable entries, including coding invoices
- Record customer payments and reconcile accounts
- Assist with reporting and audit requests
- Maintain financial records and filing systems
- Provide administrative support including phones, scheduling, correspondence, and office supply management
- Support special projects and data entry tasks
- Handle confidential information with discretion
Inventory & Purchasing Support
Prepare and process purchase orders for inventory and suppliesTrack order status and follow up with vendorsMonitor stock levels and ensure availability for production needsMaintain accurate inventory recordsOversee cycle counts and reconcile discrepanciesProvide monthly inventory and purchasing updatesGeneral Support
Assist with customer service inquiriesFacilitate communication between vendors, production, and finance teamsQualifications
High school diploma or equivalent required; Associate degree in business or related field preferred1–3 years of experience in office administration, accounting support, or inventory coordinationStrong organizational skills and attention to detailExcellent communication and customer service skillsAbility to manage confidential information with discretionProficiency in Microsoft Office Suite and ability to learn ERP / accounting systemsSkills and Attributes
