Why This Role Matters
The function of this role is to assist senior members of the team with the management of their business activities and client relationships through comprehensive administrative support. The duties are varied, and will follow the cycle of the sales calendar as well as certain duties to support overall department activity.
How You'll Make An Impact
Manage client relationships including meeting arrangements, mailings, correspondence, and actions point for follow-up.
Support senior specialists in implementing client strategies and engagement.
Develop familiarity with all active and prospective clients and their collections, including anticipating and responding to their needs.
Provide pre and post-sale support for clients, partnering with sale coordinators and post sale teams.
Work closely, efficiently, and effectively with other specialist departments including international and regional offices, external organizations, individuals, and institutions.
Provide appraisals support, liaising with clients, specialists, and other internal departments.
Provide support in creating proposals and pitches, which includes gathering item details and images.
Create opportunities in client management system and maintain and update data.
Support department preview and sale including activities such as arranging client views, tracking interest, and fulfilling client requests.
Telephone bidding as needed.
Create purchase orders and sundry invoices, as required.
Manage diary scheduling including all meetings and travel arrangements.
Compose and edit client communications as required.
Answer and screen incoming telephone calls.
Reconcile and submit corporate card expenses for approval using internal system.
Perform other duties as assigned by Manager.
