- Manage and oversee a comprehensive student employment process for undergraduate and graduate students, including the timely and accurate processing of high volume student employment related data entry
- Develop and implement employment opportunities for Santa Clara University students and programs enriching the quality of service given to hiring managers and the SCU student body.
- Collaborate with internal and external functional areas to identify and utilize current and emerging technologies to enhance the effectiveness of student employment processes to streamline business processes.
- Oversee the development, coordination and facilitation of student employment educational workshops and outreach events.
- Assure SCU community receives timely and accurate communications on impending mandated and processing changes, system usability issues, and new system functionality.
- Collaborate and coordinate with Financial Aid and Finance Offices to make certain Work Study funds are processed per federal and University guidelines.
- In coordination with Financial Aid and Finance Offices audit the federal work study accounts and student records to ensure proper and timely allocation of federal work study funds.
- Manage and oversee off-site federal work study programs / agencies .
- Oversee the review and classification of student employment positions as it relates to FLSA status and compensation.
- Manage the review and eligibility determination of student stipends and work closely with the Finance Office to make certain stipends are processed per established University guidelines.
- Responsible for the accurate and timely processing and reporting of student employees’ nonresident alien status.
- Provide back-up support for the processing of the semi-monthly payroll, including the processing of third-party vendor periodic employment tax related data files and quarterly and year end data files and reports
- Provide back-up support for the processing of payroll related payments, e.g.
termination and off-cycle checks.
Responsible for the timely review and approval of all Period Activity Pay (supplemental payments) requests in Workday.In collaboration with Payroll Manager, ensure all questions pertaining to payroll from initial entry to payroll distribution are addressed accurately and timely.Work with HR staff to review, resolve and prevent payroll related issues.Serve as back up for the production and distribution of year-end forms, including W-2 and 1042 forms.Proficiency in HRMS relational database required, Workday experience preferred.Experience with policy articulation and implementation, publications, and external relations is important.Solid understanding of employment and payroll laws and their applications to higher education, including student employment.Outstanding organizational, communication (written and oral), and customer service skills essential.Evidence of strong analytical and problem resolution skills with attention to detail.Must be a quick learner, with well-developed time management skills and ability to consistently meet tight deadlines.Project management experience requiredStaff supervision experience preferredAbility to function with minimal supervision and direction and an ability to advise both student employees and their supervisors.Demonstrated ability to manage multiple tasks and exercise sound judgment.Demonstrated ability to cultivate collaborative relationships with both internal and external constituencies.Ability to handle confidential information with discretion.Demonstrated interest and commitment to the mission of a Catholic, Jesuit university and a culture of service.Santa Clara University does not discriminate in its employment practices or in its educational programs or activities on the basis of sex / gender, and prohibits retaliation against any person opposing discrimination or participating in any discrimination investigation or complaint process internally or externally.Information about Title IX can be found at .
