What this job involves :
The Workplace Ambassador plays a vital front-facing role in creating a welcoming and professional office environment. This position supports the Office Manager in ensuring smooth daily operations by overseeing front desk services, mail handling, workplace amenities, and administrative support. The role also assists with employee-facing communications and engagement activities.
This is a full-time, on-site role based at the Collectibles Los Angeles office.
Your day to day :
Front Desk & Guest Experience
- Provide front desk coverage during building hours (8 : 00 AM 5 : 00 PM).
- Greet visitors and staff with a warm, professional demeanor.
- Register all guests, interviews, and new hires using building software; coordinate with security when needed.
- Ensure all visitors comply with Fanatics' guest and security policy.
- Maintain the cleanliness and appearance of the reception area, front entrance, and lobby.
Mail & Deliveries Management
Receive, sort, and distribute daily mail, packages, and catering deliveries.Process outgoing shipments (FedEx, UPS, USPS).Track and log registered mail as needed.Workplace Amenities & Supply Support
Monitor and restock office supplies, breakroom inventory, and restroom items in coordination with the Office Manager.Maintain snack inventory for general office and executive areas.Manage lobby music via Spotify / Alexa and ensure general space TVs display appropriate sports channels.Maintain the cleanliness of breakrooms and collaborative spaces.Administrative & Vendor Coordination
Assist with scanning, filing, and basic administrative tasks.Help book conference rooms and prepare meeting spaces.Support incoming / outgoing shipping requests, especially for executives.Assist with badge issuance, deactivation, and access updates in coordination with the Office Manager.Submit facility work orders and track repair progress.Help track snack / office supply expenses in collaboration with the Office Manager.Internal Communication & Event Support
Distribute office notices and event updates in partnership with the Office Manager.Support employee engagement efforts, including event logistics, setup / cleanup, and internal communication.Partner with Facilities and HR teams on special projects and office-wide initiatives.Customer Service & Resource Support
Act as a go-to resource for visitors and employees; provide workplace guidance and assistance.Monitor the shared office email inbox, responding to general inquiries and forwarding complex or urgent matters to the Office Manager as needed.Help resolve day-to-day questions or facility concerns professionally.Maintain knowledge of local resources (restaurants, vendors, post office, supplies, etc.).Cross-Departmental Collaboration
This role supports multiple internal teams, including Executives, Security, Facilities, IT, and HR.

EDUCATIONAL REQUIREMENTS :
High school diploma or equivalent required.KNOWLEDGE SKILLS AND ABILITIES :
Proven experience in customer service, front desk operations, or administrative support.Excellent verbal and written communication skills with a friendly, professional tone.Strong organizational skills and attention to detail in a fast-paced environment.Proficiency in workplace technology tools (Outlook, Google Workspace, Slack, etc.).Positive, service-oriented attitude with a commitment to creating a welcoming environment.Ability to multitask, prioritize responsibilities, and respond to shifting needs throughout the day.Estimated compensation for this position :
