Job Description : GENERAL FUNCTION
We are seeking an organized and detail-oriented Customer Service Administrator / Parts Coordinator with exceptional administrative and communication skills to support our parts department. The ideal candidate will play a vital role in ensuring smooth operations, accurate service documentation, and excellent customer service. This role involves coordinating service tickets, managing inventory, and providing administrative support to technicians and internal teams.
MAJOR DUTIES AND RESPONSIBILITIES
- Service Coordination : Manage and process service ticket data entry; schedule service calls and installations for local technicians.
- Communication & Follow-up : Follow up with representatives and technicians on open cases to ensure timely resolution and customer satisfaction.
- Parts Inventory Management : Maintain and oversee parts inventory to ensure stock availability and timely order fulfillment.
- Order Management : Create and track purchase and sales orders with precision and efficiency.
- Parts Fulfillment : Pick and prepare parts required for customer repairs and internal service activities.
- Record Keeping : Maintain accurate service repair records, parts usage, and transaction history.
- Customer & Staff Support : Provide responsive and professional support to customers, technicians, and internal staff.
- Collaboration : Partner with the Service Team, manufacturers, and customers to align on parts requirements and delivery schedules.
- Inventory Control : Conduct periodic inventory counts and reconcile discrepancies.
- Sales Support : Assist in developing strategies to improve parts sales performance and analyze stock levels to optimize efficiency.
BASIC QUALIFICATIONS
Experience in service coordination, parts administration, or inventory management preferred (auto parts or similar background advantageous).Proven ability to manage administrative tasks in a fast-paced office or service environment.Strong organizational, time management, and multi-tasking abilities.High attention to detail and accuracy in recordkeeping.Excellent verbal and written communication skills.Proficiency in computer systems, including MS Office (Word, Excel, Outlook) and data entry platforms.Self-motivated and capable of working independently with minimal supervision.Flexible and proactive approach to solving operational and customer-related issues.TOP DESIRABLE ATTRIBUTES
