We are looking for a dedicated and detail-oriented Senior Administrative Assistant with specialized expertise in grants management to join our team in Alameda, California. This long-term contract position offers an excellent opportunity for professionals with a background in financial reporting, budgeting, and compliance. The role will involve working in a hybrid environment, combining on-site and remote duties.
Responsibilities :
- Oversee the financial management of grants, including budgeting, forecasting, and tracking expenditures to ensure proper allocation of funds.
- Prepare and submit comprehensive financial reports to grantors, ensuring accuracy and adherence to funding guidelines.
- Monitor obligations and expenditures related to grants, ensuring compliance with program goals and deadlines.
- Collaborate with internal teams and stakeholders to maintain transparency and accuracy in financial processes.
- Address and resolve discrepancies in financial records and reporting related to grant activities.
- Ensure compliance with all relevant regulations and standards for financial reporting and grant management.
- Organize and maintain documentation related to grants, including contracts, reports, and financial records.
- Assist in the preparation of audits by providing necessary documentation and financial data.
- Utilize financial management tools and software to streamline processes and maintain accurate records.
- Proven experience in grant management or financial reporting, ideally within nonprofits, government agencies, or educational institutions.
- Strong understanding of accounting principles, financial compliance, and reporting requirements for grants.
- Proficiency in financial management software such as QuickBooks, and familiarity with tools like Concur or CRM systems.
- Exceptional analytical and problem-solving skills with a keen eye for detail.
- Excellent organizational skills and the ability to manage multiple tasks efficiently.
- Strong communication abilities, both written and verbal, to interact effectively with stakeholders.
- Familiarity with budgeting processes, calendar management, and financial tools like ADP or Banner.
- Experience using platforms for virtual meetings, such as Cisco Webex, is a plus.
