This position enhances effectiveness of the company by providing support and organization to administrative and sales personnel.
The Office Administrator will work closely with the sales team and administrative staff to ensure effectiveness and cohesiveness across departments, and integrity of all data and processes. Qualifications :
- Two-year associate or bachelor's degree preferred.
- Minimum 1 year office and / or administrative experience required.
- Must be computer savvy.
- Hourly, in-office full-time position Monday-Friday from 8-5 with a one-hour unpaid lunch.
- Must be very organized.
- Works best in a fast-paced environment, can work with teams, takes great pride in his / her work.
Must be motivated, driven and independent. Duties and Responsibilities :
Answers business phones. Ensures consistency through various channels / platforms. Ensures complete customer setup in internal software through gathering and entering all necessary information. Records and distributes sales meeting minutes. Routes sales correspondence. Assists sales representatives with following up on new and existing customers. Takes directive from sales team to assist in expediting documents and phone calls needed to promote sales. Conducts cursory searches for helpful public information and adds to sales ticket. Assists sales team in proposal data entry and information management. Maintains paper and electronic filing systems for records, correspondence, and other material. Conducts searches, using such sources as the Internet to find needed information to support company employees and customers. Assists and coordinates conferences and meetings. Operates office equipment such as scanners, copiers, and phone systems, and use company specific software to enter / retrieve data, including Microsoft office suite and other applications. Contributes to team effort by accomplishing related results as needed, assists team members and customers to ensure customer satisfaction is 100%. Reviews sales and operational challenges to identify potential improvements, then presents ideas to the appropriate department for implementation. Facilitates communication and transactional items among departments to ensure greater alignment. Takes ownership of operational process documentation. Additional tasks at the request of management.
