Summary :
The Office Coordinator plays a critical role in creating and maintaining a positive, efficient, and welcoming workplace environment. This role is responsible for managing day-to-day office operations, coordinating company events, supporting employee engagement initiatives, and ensuring that the workplace runs smoothly and professionally. The ideal candidate is organized, proactive, detail-oriented, and passionate about fostering a vibrant office culture.
Duties / Responsibilities :
Office Operations
- Oversee all office functions including supplies management, vendor coordination, mail distribution, and office equipment maintenance
- Answer and direct incoming phone calls in a courteous and professional manner, ensuring timely response and appropriate follow-up
- Serve as the primary point of contact for building management and facility-related issues
- Maintain a clean, organized, and well-stocked office space, including common areas and meeting rooms
- Support onboarding logistics for new hires including welcome kits, desk setup, and office orientation
- Plan and coordinate office celebrations, including holiday parties, birthdays, work anniversaries, and company milestones
- Organize team lunches
- Plan and manage internal events such as all-hands meetings, offsite retreats, volunteer days, and seasonal parties
- Coordinate logistics including catering and event setup / cleanup
- Manage event budgets and timelines, ensuring high-quality execution aligned with company culture
- Provide general administrative support to leadership and departments as needed
- Assist with travel arrangements and meeting coordination
- Prepare reports, spreadsheets, and presentations as requested
- Perform other duties as assigned
Required Qualifications :
3+ years of experience in office management, administration, or a similar roleExceptional organizational and multitasking skills with a strong attention to detailExcellent verbal and written communication skillsStrong interpersonal skills and a proactive, solution-oriented mindsetExperience planning events or coordinating employee engagement programs is highly preferredP referred Qualifications :
Proficient in Microsoft Office Suite and / or Google Workspace; experience with project or event management tools is a plusNormal Working Hours and Conditions : Core business hours are generally 8 : 00 am – 5 : 00 pm. However, this position may require work to be performed outside of normal business hours based on Company operations.
Physical Requirements : Primary functions require sufficient physical ability and mobility to work in a warehouse setting including exposure to varying temperatures. Daily physical functions include working on ladders, using heavy equipment, standing, sitting and walking for prolonged periods of time and occasionally stooping, bending, kneeling, crouching, reaching, and twisting. The employee may engage in lifting, carrying, pushing, and pulling light to moderate amounts of weight up to 50 pounds. The position also requires the operation of office equipment requiring repetitive hand movement.
