Schedule : 12 : 00PM - 5 : 45PM Monday - Friday
JOB SUMMARY : Provides energetic and friendly customer service and administrative support for the clients and internal staff of the Explorer Academy.
ESSENTIAL JOB FUNCTIONS :
- As the first point of contact, welcomes Easterseals’ clients, visitors, and staff and provides direction or assistance as needed.
- Maintains polite and professional communication via phone, email and in person.
- Handles office tasks, such as answering phones, filing, copying, and generating reports.
- Collects Easterseals’ Explorer Academy fees and secures monies in the secure dropbox.
- Conforms to all Easterseals Finance Department policies and procedures.
- Facilitates timely response to parent and staff requests.
- Ensures all children are accurately checked in and out of the center.
- Ensures all supporting documentation for children’s attendance is uploaded to Procare in a timely manner.
- Ensures all documentation is signed by parents in a timely manner and in accordance with Department of Children and Families’ regulations.
- Communicates with parents / guardians regarding required documentation and ensures compliance prior to entry.
- Maintains an accurate waitlist using the Easterseals’ data management system.
- Ensures the front lobby area is clean and welcoming for all who enter.
- Ensures all visitors / vendors / contractors who enter the building are signed in and out properly.
- Maintains a clean, safe, hazard-free work environment, ensuring unsafe situations are reported to the Director.
- Serves as the floater in the center, providing lunch breaks, bathroom breaks, and assists in the kitchen as needed.
- Ensures the building is closed and locked up at the end of shift.
- Completes other duties as assigned.
- Preserves the integrity and confidentiality of protected health information of Easterseals clients.
- Understands, acknowledges, and implements Easterseals privacy policies involving the disclosure of protected health information of Easterseals clients.
- Demonstrates a strong commitment to self-development.
- Completes all assignments and responsibilities, is flexible and a team player.
- Acts in accordance with the Easterseals behavioral expectations, mission, vision and values.
EDUCATION and / or EXPERIENCE :
High school diploma or equivalent required; Associate degree preferred1–2 years of clerical, secretarial, or general office experience requiredPrevious experience working in a pre-school or daycare preferred.Proficient computer skills, including Microsoft Office requiredKNOWLEDGE, SKILLS AND ABILITIES :
Ability to organize time, set priorities, and meet deadlines.Detail oriented.Excellent interpersonal skillsAbility to multi-task in a fast pace environment.Possess excellent oral and written communication skills.Ability to work independently with limited supervision.Positive attitude towards individuals with disabilities and the Easterseals work environment and philosophy.Willingness to be flexible.Possess the qualities of integrity, tact, and good judgment.PHYSICAL CAPABILITIES :
