J&J Truck Bodies & Trailers is looking for an Office Administrator / Customer Service Representative who will be responsible for ensuring efficient day-to-day operations of the office while delivering exceptional service to customers. The dual role involves administrative support, clerical tasks, and front-line customer service.
Essential Duties and Responsibilities include the following :
Office Administration :
- Staffs the reception desk and operates the switchboard, routing incoming calls, taking messages, etc.
- Greets guests, announces guests, and ensures guests are properly logged into and out of the facility.
- Laminate, copy, and create documents as requested.
- Answers and screens telephone calls and arranges conference calls.
- Prepare outgoing mail and correspondence, including e-mail and faxes.
- Orders office supplies and maintains office supply inventory.
- Support management with administrative tasks and special projects.
- Assembles bid packages.
- Organizes and maintains the file system and files, correspondence, and other records.
- Coordinates appointments, manages calendars, books meetings, resolves scheduling conflicts, and communicates with parties about time changes.
- Observes and complies with all provisions of the ISO 9001 QMS
- Observes and complies with all safety rules, including the use of appropriate.
- Safely perform duties; wear required PPE when appropriate.
Customer Service :
Act as a first point of contact for customers, via phone and in person.Use a CRM system to log, track, and manage all customer service calls and requests.Identify trends or recurring issues in the CRM and communicate them to management for review.Respond to inquiries, resolve issues, and provide product / service information promptly.Build positive relationships with customers by providing efficient and solution-oriented service.Escalate complex issues to the Customer Service Manager when necessary.Education and / or Experience
High school diploma or general education degree (GED) and one year of related experience and / or training; or equivalent combination of education and experience is desired.Proficient in the Microsoft Office suite and experienced with using a CRM system.Strong organizational and time management skills.Excellent verbal and written communication skills.Benefits :
