We are a national franchise operation that works with Property Managers, Maintenance Managers, Chief Engineers, Hotels, Restaurants, Moving Companies, Realtors, and more. We expertly repair damage on all types of surfaces. We are looking for an Operations Manager to help lead our rapidly growing business in the Louisville market.
General :
This role is integral to ensuring that Surface Experts operations run smoothly and efficiently, providing essential support to customers, our technicians, and management. The Operations Manager plays a key part in operational excellence, quality, compliance, and our financial success.
Position Summary :
The Operations Manager is responsible for development and implementation of efficient and effective policies and processes that meet our customers' requirements. This role involves managing financial processes, coordinating schedules, maintaining compliance with property management operational requirements, and serving as a key point of contact for internal and external communications. The Operations Manager plays a critical role in supporting both the operational and financial success of the organization.
Key Responsibilities :
- Scheduling and Coordination :
- Collaborate with our Customers, Sales Manager, and Call Center to schedule Surface Experts Technicians for service appointments.
- Manage daily schedules and coordinate appointments to optimize operational efficiency.
- Confirm and document appointments and details with customers
- Quality Control :
- Conduct QC activities to verify excellence and identify if rework is required :
- Review photos and other documentation of Technicians' work performed
- Spot check Technicians' completed work in the field
- Inventory and Supply Management :
- Establish and maintain supplies and equipment storage in an organized manner that makes it quick and easy for technicians to find what they need each day for their work orders quickly and easily.
- Order necessary work products, supplies and equipment for both the office and field technicians.
- Establish and maintain an inventory system that :
- Achieves cost savings wherever possible without sacrificing efficient operations.
- Ensures that operations are not negatively affected by product, supplies or equipment shortages.
- Identifies potential waste or overconsumption of product or supplies.
- Communication and Customer Service :
- Initiate and answer phone calls, providing excellent customer service.
- Serve as a liaison between internal teams, clients, and vendors to ensure smooth communication and problem resolution.
- Office Administration :
- Maintain an organized office environment, including filing systems and digital records.
- Ensure all office equipment is functioning properly and coordinate any necessary repairs or maintenance.
- Policy Implementation :
- Assist in implementing and enforcing office policies and procedures to improve efficiency and ensure compliance with company standards.
- Vendor and Property Relations :
- Establish and maintain relationships with property managers and vendors to ensure smooth business operations.
- Address any compliance or documentation needs in a timely and efficient manner.
Knowledge, Skills, and Abilities We Are Looking For :
- Proven experience as an Operations Manager or thru a previous role with similar requirements.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and customer service skills.
- Ability to handle sensitive information with discretion.
- Experience in and is a plus.
- Strong problem-solving abilities and the capacity to work independently or as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

- Cloud-based work scheduling systems
- Vendor and supply management
- Property management compliance requirements
