Position Summary We are seeking a reliable, detail-oriented Office Administrator / Manager to join our team in historic downtown Willoughby, Ohio. This is a new, part-time role designed to support our operations and free up executive time. The ideal candidate will be a proactive self-starter, comfortable handling administrative tasks, managing phones, and assisting with basic bookkeeping tasks in QuickBooks Desktop. This position is perfect for someone seeking flexible, family-friendly hours.
Key Responsibilities
Enter statements, bills, and invoices into QuickBooks Desktop as requested (no responsibility for payroll, AP, or AR management).Answer and direct incoming phone calls; provide a pleasant, professional experience for callers.Make outgoing calls as needed (event RSVPs, client follow-ups, vendor coordination, etc.).Assist with event-related phone outreach and RSVP management.Manage office supplies inventory; place orders and track usage as needed.Send out invoices and checks prepared by the executive team.General administrative support as needed (filing, scanning, mail handling, etc.).Other similar duties as requested.Qualifications
Prior experience with QuickBooks Desktop for basic bookkeeping (data entry of bills, statements, invoices) is a plus but not required.Strong organizational skills and attention to detail.Pleasant, professional phone manner; comfortable making and receiving calls.Reliable, trustworthy, and discreet with sensitive information.Ability to work independently and manage multiple tasks efficiently.Previous administrative or office management experience preferred.Familiarity with Microsoft Office and Google Suite.Schedule & Compensation
