We are looking for an exceptional Administrative Assistant to join our growing clinical team in Hauppauge, NY! The Administrative Assistant will be responsible for scheduling patient appointments, receiving and processing outpatients, collecting, and communicating patient demographic / insurance information, data entry of patient services and co-payments, payment reconciliation and deposit, processing referrals and answering phone lines. This is a full-time, on-site position, located in Hauppauge and reports into the Office Manager of the Hauppauge KPC team.
Maintain a positive approach and positive relationships with others
Answer assigned telephone lines appropriately and promptly, transferring to correct parties when necessary
Take clear and precise messages, assuring they are placed in appropriate location for communication
Take messages off assigned voice mail lines, returning calls promptly and following through with requests
Transfer phones to answering service during lunch and at end of day
Follow up with service on any messages
Confirm appointments for next day, reminding them to bring referrals / records as needed
Support departmental and clinical team initiatives and change efforts
Meet with patient to review and sign all pre-intake paperwork and releases of information.
Collect appropriate co-payments and issue receipt
Note cancellation / missed appointments in electronic chart, and follow up with patient to reschedule
Reschedule patients when necessary
Assist patients, providers, department staff and other clinical staff with questions or problems, as appropriate
Maintain standards of confidentiality and participate in unit compliance
Accountable for improving patient care through adherence to all patient safety and quality standards, regulations, and best practices
Any other duties, as assigned
High school diploma and two years of administrative / front desk experience required, including knowledge of medical terminology / abbreviations and physician office / hospital operations required
Ability to travel / commute to the KPC Hauppauge facility, and will require a specific weekday schedule of 9 : 00am-3 : 00pm (slightly flexible), Monday through Friday
Comfortability working with those in recovery / addicts, and handling urine samples
Proficient in Microsoft Office Applications (Excel, Word, PowerPoint)
Ability to work independently, with a strong work ethic, self-motivation and problem-solving skills
Attention to detail and high level of accuracy
Excellent communication skills, both written and verbal
