Our client, a well-regarded international law firm, is seeking a detail-oriented Firm Administrator to support daily operations and office-wide initiatives in its Los Angeles office. Reporting to the Office Administrative Director, this hybrid role works closely with attorneys, business services staff, and management on a range of administrative, facilities, event planning, and technology-related tasks.
Key Responsibilities :
- Coordinate and support internal events, office programs, and wellness initiatives.
- Manage administrative systems including budgeting, contracts, space planning, and asset tracking.
- Liaise with building management and vendors; oversee facility-related requests and maintenance.
- Maintain and update intranet content, create surveys, and compile usage reports.
- Support office technology, including AV, databases, and software tools (MS Office, Adobe, Chrome River, Aderant).
- Assist with ticket allocation for local arena events and manage related reporting.
- Ensure safety compliance, coordinate employee badge distribution, and maintain emergency protocols.
- Support marketing efforts, including coordinating sponsorships and promotional materials.
- Track sustainability data and support green office initiatives.
Qualifications :
Bachelor’s degree required10+ years of administrative or office operations experienceAdvanced skills in Excel, Adobe Acrobat, and firm-specific systemsStrong communication, multitasking, and organizational abilitiesHigh level of professionalism, discretion, and flexibilityAbility to manage multiple projects in a fast-paced environment
