The Resources Coordinator plays a key role in aligning staffing resources across Ziegler Industries and the New Age Industrial Platform. This role ensures the right people with the right skills are assigned to the right projects at the right time. Acting as the central hub for staffing logistics, the Coordinator manages scheduling, dispatch planning, compliance checks, and occasional travel coordination. Success in this role requires strong organizational, analytical, and communication skills to support both employees and leadership.
Essential Duties & Responsibilities :
- Partner with Recruiting to maintain and update the Headcount Master Table.
- Analyze staffing levels vs. project forecasts to identify gaps, surpluses, and trends.
- Collect weekly headcount requisitions from Project / Division Managers.
- Develop and distribute weekly dispatch plans and daily / weekly staff rosters.
- Act as the first point of contact for scheduling conflicts, call-outs, and urgent backfills.
- Coordinate intercompany personnel sharing programs and track assignments.
- Verify employee certifications, safety training, and compliance prior to dispatch.
- Generate daily / weekly reports on staffing metrics (coverage rates, overtime, utilization, etc.).
- Maintain records including Scheduling Calendar, Intercompany Sharing Log, and contact lists.
- Continuously audit processes and recommend improvements.
- Perform other duties as assigned.
Job Requirements :
Bachelor’s degree in Business, Supply Chain, or related field preferred (or equivalent experience).Bilingual in English & Spanish required.3+ years of experience in workforce scheduling, dispatch, logistics, or coordination.Strong organizational, time management, and problem-solving skills.Ability to interpret data and translate forecasts into staffing plans.Excellent communication and conflict resolution skills.Proficiency in Microsoft Office (Excel, Teams, Outlook, Word).Experience with scheduling software, HRIS, or ERP systems a plus.Physical Requirements :
Regular use of computers, phones, and office equipment with repetitive movements.Ability to clearly read, hear, and communicate in-person and over the phone.Able to sit for extended periods while working at a desk or computer.Occasionally lift and carry up to 20 lbs.Why Join Us :
