Administrative Coordinator
We are looking for an experienced Administrative Coordinator to join our team in Englewood, Colorado. This Contract-to-permanent position offers an opportunity to work in a dynamic environment, providing essential support across administrative, billing, and customer service functions. The ideal candidate will excel in managing schedules, preparing for board meetings, and ensuring smooth office operations.
Responsibilities :
- Coordinate schedules and calendars, ensuring timely preparation and notifications for client meetings held bi-monthly, monthly, or quarterly.
- Attend board meetings to take minutes, provide updates on billing and customer inquiries, and ensure accurate documentation.
- Prepare and distribute meeting materials, including packets for board members, both before and after meetings.
- Manage billing processes, including downloading bills, generating bills, verifying cash receipts, and addressing past-due accounts.
- Monitor customer inquiries through the website and provide prompt responses or follow-ups.
- Perform general administrative tasks, such as mail management, postage machine operation, and running office errands.
- Support minor website updates, including formatting and posting information.
- Deliver excellent customer service by addressing inquiries and resolving issues efficiently.
- Adapt to daily priorities and unexpected tasks, ensuring smooth office operations in a fast-paced environment.
- At least 3 years of experience in administrative coordination or a related role.
- Strong organizational skills to manage schedules, meetings, and office operations effectively.
- Proficiency in customer service, with the ability to handle inquiries and resolve issues professionally.
- Experience in billing processes, including generating invoices, tracking payments, and preparing aging reports.
- Excellent communication skills, both written and verbal, to interact with clients and team members.
- Ability to multitask and prioritize responsibilities in a dynamic work environment.
- Familiarity with basic website management tasks, such as formatting and posting updates.
- Comfortable attending occasional evening meetings with a flexible daytime schedule.
