Job Title : Operations Support Specialist
Location : Los Angeles / Orange County, CA | Onsite at various project sites
Schedule : Full-Time | Monday–Friday, 8 : 00 AM–5 : 00 PM
Compensation : $55,000 – $60,000 annually
Job Summary :
The Operations Support Specialist serves as a key liaison between the company and its clients, ensuring seamless project delivery and outstanding customer satisfaction. Reporting to the Chief Operating Officer (COO), this role is responsible for coordinating schedules, managing communications, and maintaining strong, ongoing client relationships across multiple active projects.
The ideal candidate thrives in a fast-paced, service-driven environment, has exceptional interpersonal and organizational skills, and brings experience managing projects or clients in industries such as media, production, or operations. Construction knowledge is a plus but not required. Adaptability, attention to detail, and proactive problem-solving are essential.
Key Responsibilities :
- Serve as the on-site point of contact for the COO, overseeing daily project activities and ensuring alignment with company goals.
- Document project progress through detailed status reports, photos, and schedule updates to maintain transparency and accountability.
- Monitor project milestones and schedules, proactively identifying risks and coordinating solutions to keep projects on time and within budget.
- Act as a liaison between the COO, clients, vendors, and tradespeople to align expectations and deliverables.
- Build and maintain positive client relationships through clear communication, professionalism, and consistent follow-up to ensure satisfaction throughout all project phases.
- Coordinate materials, equipment, and subcontractors to ensure smooth and efficient project execution.
- Prepare and distribute concise, high-quality project reports for internal leadership and client updates.
- Support compliance with safety, quality, and regulatory standards, contributing to a safe and productive work environment.
- Provide operational and administrative support to the COO, directly impacting project outcomes and company reputation.
Qualifications
Required :
Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.Strong communication and interpersonal skills to collaborate effectively with vendors, tradespeople, and internal leadership.Ability to build and maintain strong client relationships through professionalism, clear communication, and consistent follow-through.Proficiency with project management tools such as Procore, MS Project, Excel, or similar platforms (experience with Bluebeam or AutoCAD a plus).Detail-oriented, proactive, and able to anticipate and address project needs before they arise.Comfortable working on active construction sites, adapting to dynamic job site conditions, and collaborating with diverse teams.Preferred :
Bachelor’s degree in Construction Management, Business Administration, or a related field.Bilingual (Spanish / English).Construction experience is preferred, though not required for candidates who demonstrate strong learning agility and adaptability.
