Administrative Assistant

We're looking for a highly motivated, positive, and detail-oriented Administrative Assistant to join our dedicated team at the Utah State Library.
The Utah State Library's Administrative Assistant provides administrative assistance to the division director and all division programs. This includes general office and administrative support, including paying invoices, coordinating meetings, and using a purchase card to order supplies, gifts, pay for training / conferences, and catering. Specifically for the director, this role manages travel arrangements and expense reports.
Principal Duties The Administrative Assistant duties include :
- Manage calendars and schedule appointments for library leadership.
- Prepare and edit correspondence, reports, and presentations.
- Maintain accurate records and files related to library programs and services.
- Provide exceptional customer service to the public, library staff, and stakeholders.
- Coordinate meetings and special events, including library-related gatherings and workshops.
- Assist with financial and procurement processes.
Ideal Candidate The ideal candidate for this position is someone with :
Proven experience as an administrative assistant or in a similar role.Excellent organizational and time-management skills.Proficiency in Microsoft Office Suite and Google Suite.Strong communication and interpersonal skills.A commitment to public service and a positive, can-do attitude.Previous state or municipal employment, as well as a passion for libraries are a plus.Why You'll Love This Job
