Administrative Associate For Faculty Affairs

The College of Fine Arts is the college of creativity at The University of Texas at Austina home for artists, performers, designers, scholars, educators, makers, and creatives ready to change the world.

To assist the Director of Faculty Affairs in the College of Fine Arts in Faculty Appointment and Faculty Human Resources activities, including coordinating efforts of the schools / departments.

College-Wide Faculty Affairs Support : With supervisor, review all paperwork for faculty hires in the college so that all faculty appointments comply with college and university policies, accreditation requirements, and human resources best practices in a timely manner. Assist supervisor with auditing faculty assignments in our HR system each semester to confirm their appointments are correct, including tracking faculty leaves and ensuring faculty leaves are entered into Workday appropriately.

Departmental Support : With supervisor, work with and advise department staff to ensure faculty assignments in all departments in the college are updated when needed. Train department staff and develop tools as needed. Additionally for a small number of faculty members in the fine arts section, originate hiring paperwork and oversee their onboarding and offboarding.

Faculty Awards Coordination : Under direction of supervisor, oversee assembly of Fine Arts faculty awards materials for university-wide teaching award nominations. Manage college teaching award programs and some college-funded research support programs. Assist supervisor with Fine Arts faculty research leave programs.

Promotion and Tenure : Assist supervisor with reviewing and assembling Promotion and Tenure files in advance of College promotion and tenure committee meetings and final submission to the provost's office.

Recruitment Support : With supervisor, review and route requests to search for career faculty members. Review and approve posted positions on the faculty recruitment website, Interfolio. With supervisor, oversee activities of departmental staff managing faculty searches. Provide administrative support to faculty searches run out of the dean's office.

Record Maintenance : Maintain digital records of all fine arts faculty members and business of the Office for Faculty Advancement.

Event / Workshop Coordination : Coordinate logistics of the college's faculty-related events and workshops as assigned by supervisor.

Fine Arts Faculty Appointment Updates : Implement changes to fine arts section faculty appointments, endowed fellows, and endowed holders.

Bachelor's degree and at least one year experience in an office environment working on multiple projects. Demonstrated strength in writing and editing abilities. Experience and demonstrated initiative and attention to detail in event planning and workshop development. Required competencies : Attention to Detail, Effective Communication, Initiative, Teamwork, Problem Solving. Relevant education and experience may be substituted as appropriate.

Three years' experience in an office environment working on multiple projects.

Experience working in a higher education office environment.

Experience working at The University of Texas at Austin.

$48,000 - $52,500

This position will be located in a cubicle workspace with a 3 days in-office requirement. During the new in position period, requirement will be in-office 5 days.

Employment Eligibility : Regular staff who have been employed in their current position for the last six continuous months are eligible for openings being recruited for through University-Wide or Open Recruiting, to include both promotional opportunities and lateral transfers. Retirement Plan Eligibility : The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
