Overview
A well established, global manufacturing company in SW Houston is seeking an Office Administrator to join their growing team. This person will wear many hats and be a key component in ensuring the business runs smoothly by managing a wide variety of administrative duties.
Location : SW Houston - Onsite
Responsibilities
- Maintain accurate inventory records and quality certifications in compliance with company procedures.
- Prepare, issue, and track purchase orders, confirmations, receiving reports, vendor invoices, and payments.
- Arrange domestic and international shipments, ensuring alignment with purchase orders and providing shipment notifications to customers.
- Maintain working knowledge of export documentation requirements; secure export licenses when required and prepare customs packets for international clients.
- Manage customer invoicing, accounts receivable, and payment processing.
- Oversee company insurance policy renewals and serve as primary contact for external providers of accounting, payroll, and employee benefits, review and process expense reports.
- Monitor and coordinate maintenance of company facilities, warehouses, office equipment, and supply inventories.
- Partner with Senior Management to coordinate trade show participation, manage marketing material orders, and support updates to the company website and social media platforms.
Qualifications
10+ years of administrative or office management experience within a small office environment.Bachelor's degree preferredExcellent written and verbal communication skillsMust have solid working knowledge of QuickBooks and MS Excel.Detail oriented and ability to work independently and in a team environment.Basic understanding of bookkeeping procedures.Seniority level
