This role is ideal for someone who thrives on organization, problem-solving, and diverse multitasking across finance, HR, operations, and legal functions, while maintaining a high level of accuracy and confidentiality.
Our ideal candidate will be detail-oriented, proactive, and a natural collaborator, with accounting or office management experience, and the ability to manage multiple priorities while providing streamlined, executive-level support across the organization.
Payrolling & People Operations
Manage payroll, payrolling systems, and reporting, ensuring accuracy and timeliness.
Reconcile employee timesheets and coordinate onboarding, screening, and offboarding processes.
Administer employee benefits, including medical insurance (enrollment, COBRA, billing audits) and company-sponsored 401(k) plans.
Oversee general office operations, including coordination with international teams.
Finance & Business Administration
Oversee bi-weekly and monthly billing, invoicing, and expense tracking, including oversight of QuickBooks accounting systems.
Manage P&L reporting, company credit cards, and expense oversight.
Administer business insurance, state licensure, and company registration / license renewals.
Support client audits and maintain compliance with financial regulations.
Legal & Contract Management
Coordinate with legal counsel and executive management on company matters and maintain contract oversight.
Draft, catalog, and maintain contracts, service agreements, and company templates.
Support RFPs, bids, and other contractual documentation processes.
Systems Access
Assist with digital organization, access controls, and device registry in partnership with IT support.
Provide system support and access oversight for key platforms and enterprise tools.
Coordinate website maintenance with external partners.

Success will be measured by the efficiency, accuracy, and compliance of operations across HR, finance, legal, and administrative functions. Key indicators include :
Timely and accurate payroll and financial reporting.
Efficient onboarding / offboarding and benefits administration.
Effective management of multiple operational deadlines.
Smooth internal operations and proactive problem resolution.
Clear, actionable reporting for executives and leadership teams.
Gradual expansion and assumption of responsibilities, demonstrating the ability to achieve autonomy and full independence, providing operational oversight of daily office functionality.

Your Experience
Prior experience in accounting required.
Experience managing finance and HR processes in a fast-paced, multi-functional office environment.
Exposure to executive-level reporting, KPIs, and operational dashboards.
Prior experience in office management, HR, and operations strongly preferred.
Strong understanding of payroll, benefits administration, P&L management, and HR compliance.
Familiarity with contract management, legal coordination, and RFP processes.
Proficiency in MS Office and experience leveraging AI tools to streamline workflows.
