Job Description :
Adena Corporation is a nationally recognized leader in construction and specialty fabrication, delivering large-scale projects in steel, concrete, industrial, and themed / ride industries. We're seeking a detail-oriented Construction Project Coordinator to join our Industrial and Ride & Steel divisions. In this role, you'll handle billing, job setup, and financial tracking while supporting proposals, manpower monitoring, and weekly reporting. You'll also maintain organized project documentation and serve as a key communication link between Project Managers, clients, subcontractors, and corporate staff. Advanced Excel skills are essential for success.

Responsibilities :
- Enter and process payroll / timecards to ensure accurate labor cost allocation.
- Manage billing functions, including invoicing, job billing, and back-charging contractor services to clients.
- Add and maintain job phase codes and Excel tracking sheets for accurate project coding and financial reporting.
- Monitor quotes and prepare weekly departmental reports on financial projections.
- Coordinate job setup procedures, including purchase orders, approvals, and project directories.
- Support Project Managers and Estimators with qualification documents, proposals, estimates, and bid submissions.
- Request, track, and maintain subcontractor prequalification and bid bond forms.
- Manage project logs (NOC, NOF, submittals, and closeout paperwork).
- Provide administrative support such as maintaining project files, resolving service tickets, and administering office supplies and marketing materials.
- Act as a liaison between Project Managers, clients, subcontractors, and corporate staff to ensure smooth project coordination.
- Adhere to company safety policies to promote a safe work environment.
- Perform other duties as assigned.
Requirements :
High school diploma or GED required.Minimum 2 years of related experience.Bachelor's degree in Construction Management or related field preferred.Advanced Excel skills required (pivot tables, formulas, reporting).Proficiency with Microsoft Office Suite (Word, Outlook, PowerPoint); Adobe and Vista by Viewpoint a plus.Strong attention to detail and organizational skills.Excellent communication skills with the ability to work effectively in a team environment.Strong time management skills with the ability to prioritize multiple tasks.EOE :
