Experience in preparing / editing pleadings and handling discovery. Strong calendar management and file organization skills. Effective communication, detail-oriented, organized, and adaptable with a positive attitude. Self-starter, articulate, resourceful, and able to work independently and as part of a team. Familiarity with remote conferencing platforms and standard office software. Experience with document productions involving HIPAA-protected information. Prior experience in a large law firm environment. 5+ years of litigation experience preferred; experience with corporate transactions preferred but not required. Ability to conduct basic investigations (e.g., background searches, locating relevant rules and resources). Overview
Civil Litigation Legal Secretary
Location : Pasadena, California – In Person / In Office
Hours : 9 : 15 a.m. – 5 : 00 p.m.

Our firm specializes in civil litigation, healthcare law (not medical malpractice), business transactions, and regulatory and administrative board defense with 35+ years of combined experience.
Responsibilities
- Manage and maintain firm and attorney calendars.
- Prepare and edit court pleadings and related documents.
- Handle and serve discovery pleadings and documents.
- Navigate California State court systems, including filing, hearing procedures, and deadlines in line with state and local rules.
- Prepare and maintain electronic case files and hard copy files.
- Coordinate remote conferencing (e.g., Court video conferencing, Zoom, GoToMeeting).
- Provide backup support and act as a team player in a fast-paced environment.
- Perform word processing, proofreading, and basic administrative tasks (copying, vendor communication, office supplies).
- Utilize Microsoft Office Suite and Adobe Suite (including OCR, redactions, Bates stamping).
