Our Opportunity :
The Leave Specialist at Aspen PEO administers and manages all aspects of employee leave programs across a portfolio of clients. You will serve as the primary point of contact for employees regarding leave requests, approval procedures, and benefits during leave. This role will focus on ensuring compliance with FMLA, state-specific leave laws, and company policies across multiple states.
The ideal candidate will be detail-oriented, knowledgeable about federal and state leave regulations, and experienced in coordinating between HR, payroll, and employees to ensure a seamless leave experience.
What You'll Do :
- Administer and track all leave of absence requests, including FMLA, ADA, state-specific leaves, parental leave, and personal leaves.
- Determine employee eligibility, provide required notices, and ensure timely documentation in compliance with applicable laws.
- Coordinate with HR, payroll, benefits, and managers to ensure accurate leave tracking and pay continuation where applicable.
- Provide subject-matter expertise on leave-related regulations, including FMLA, state-specific paid sick leave, and other statutory leave programs. Use judgment and knowledge of laws to qualify leaves appropriately.
- Provide guidance and advice to client leadership on matters related to leaves, including ADA accommodation and managing intermittent leaves.
- Support employees with claim filings with states and private disability insurance providers.
- Provide clear, empathetic communication to employees and managers about leave status, required forms, and return-to-work processes.
- Facilitate accommodations under ADA and coordinate interactive processes with employees and leadership.
- Maintain confidential leave records and update HRIS systems accordingly.

Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent work experience accepted.SHRM-CP / PHR, SHRM-SCP / SPHR, or Certified Leave Management Specialist (CLMS) certification desired.Minimum three years of direct experience administering leave programs, including FMLA and multi-state leave management. Specific experience with CA, WA, NY and MA paid leave programs desired.What Aspen Brings :
