Public Works Administrative Assistant
The City of Cottonwood Heights is seeking a detail-oriented and customer-focused individual to join our team as a Public Works Administrative Assistant. This position provides professional-level clerical and administrative support to the Public Works Department while serving as a primary point of contact for residents, contractors, and visitors. The Administrative Assistant performs a wide variety of office support duties, including greeting and assisting the public, responding to inquiries, coordinating communications, processing permits and transactions, and maintaining department records and schedules.
In this role, you will serve as the front-line representative for the department-answering phones, responding to public inquiries, and providing accurate information regarding city services, programs, and procedures. You will assist with correspondence, reports, and departmental mailings, as well as prepare work orders, right-of-way permits, and other documentation. This position also includes receipting and balancing payments for permits and fees, entering transactions using Caselle software, maintaining supply inventories, and assisting with meeting scheduling, event coordination, and staff travel arrangements.
Performs other duties as required. The ideal candidate will be highly organized, professional, and capable of managing multiple priorities in a busy office environment. Strong communication skills, attention to detail, and the ability to provide excellent customer service are essential. Proficiency with Microsoft Office applications, familiarity with modern office practices and equipment, and experience handling confidential information are required. Prior experience in a municipal or public service setting is preferred but not required.
Minimum Qualifications : Candidates must have a high school diploma or equivalent, along with four years of general administrative or clerical experience performing similar duties.
Special Qualifications : Candidates must be able to type at least 60 words per minute and possess a valid Utah Driver's License. The selected candidate must also obtain a Utah Notary Public certification within six months of hire and maintain it throughout employment. Requires a valid Utah Driver's License.
