Senior Administrative Assistant - Specialist (San Diego) at Turner Construction Company
Responsibilities
- Provide exceptional customer service and act as the senior administrative point of contact for the functional business department and leadership.
- Engage professionally with others to address and discuss information.
- Facilitate executive activities, manage calendars and commitments, travel, and expense reporting.
- Serve as liaison between leadership and others; manage calls and email communications.
- Proofread written correspondence, memos, emails, presentations, and other documents.
- Record, transcribe and distribute minutes of meetings.
- Assist leadership in making consistent decisions by providing historical reports and references.
- Serve as coordinator for department, including meetings and events.
- Complete items requiring executive electronic signature, with documented authorization.
- Maintain Notary Public commission (as required).
- Embrace company culture, values, and Diversity, Equity, and Inclusion (DE&I).
- Demonstrate lean leadership; evaluate processes for continuous improvement to increase responsiveness and efficiency; share best practices across the team.
- May serve in management capacity to :
- Provide Administrative Services (AS) team support and relieve others' duties during times of need.
- Manage requests for department administrative support and delegate as appropriate.
- Balance workload and prioritize tasks for department AS staff and self.
- Establish SOPs for department AS staff roles; explore and drive innovative ideas to improve systems and service quality.
- Lead and develop department AS direct reports; foster teamwork and collaboration; deliver timely performance feedback and contribute to performance appraisals.
- May serve as Development Partner (DP) for AS team members.
- Other activities, duties, and responsibilities assigned.
Qualifications
College degree and / or professional administrative certification with minimum 6 years of relevant administrative services experience; or, in lieu of degree / certification, a High School Diploma or GED with a minimum of 10 years of related administrative service experience.Purchasing, Procurement, or related experience (Senior Administrative Specialist Procurement only).OSHA knowledge and experience desired (Senior Administrative Specialist EH&S only).Project management skills to manage multiple assignments with competing and demanding timeframes.High standards of accountability and integrity; discretion; ability to maintain confidential information.Good judgment to solve problems and prioritize responsibilities for self and others.Approachable, proactive, positive, and professional.High degree of organization, diligence, and accuracy.Effective active listening skills and follow up on commitments and deadlines.Exceptional professional verbal communication, business writing, and proofreading skills.Excellent interpersonal communication, professional presentation, and persuasion skills to engage and influence at senior levels; ability to engage with teams, vendors, and across organizational levels.Physical Demands
