Program Coordinator, Dept. of Medicine / Assistant
SCOPE OF POSITION :
Responsible for the coordination, management, and oversight of all day to day activities within the Department of Medicine. Services as the primary senior administrative coordinator to the Chairman of Medicine, with additional support to Firm Chiefs, Clinician Educators in the Yale-New Haven / Waterbury Hospital Internal Medicine Residency Program and Hospital-based employed subspecialist. Works collaboratively as part of the Department team promoting effective working relationships and assisting the Department in meeting its goals and objectives.
Assists the residency program coordinator for YWIMRP.
RESPONSIBILITIES :
- Oversees multiple and diverse Department functions including, but not limited to, transcription
of all correspondence, calendar maintenance, and coordination of arrangements for various meetings within the department
Coordinates and oversees CME related programs and CME credits for the Department, including all Medical Grand Rounds lectures, Primary Care Update lectures, special annual lectures, Firm Chief / M&M Conferences, and Noon Conferences. Collaborate with Yale University Affiliated Hospital Program Medical Grand Rounds lecture series and coordinates miscellaneous details with guest lecturers.Coordinates administrative and operational support to many programs within the Department of Medicine, including pathway development, curriculum development, CME programs, CSMS accreditation, Research Day, annual lectures, quality improvement issues, implementing JCAHO standards, and all new initiatives for the Department of Medicine and Yale-New Haven / Waterbury Hospital Internal Medicine Residency Program. Prepares and distributes curriculum materials, construction of handouts and slides as needed.Liaison between the Department of Medicine and Yale University School of Medicine, UCONN medical school and the Netter School of Medicine at Quinnipiac University with regard to part-time voluntary faculty appointments and re-appointments for numerous community and department faculty physicians, ensuring that all required physician related documents are properly collected, processed, and submitted to YUSM, UCONN and QU on behalf of these physicians.Compiles information and create medical floor and ICU attending block schedules based on complex resident scheduling, posting and distribution of same throughout the hospital.Provides any necessary assistance to the Residency Program CoordinatorMaintenance and oversight of various Department charts and records, including files related to medical resident alumni, verification of residency training, fellowships, and hospital privileges. Transcribes and generates numerous letters of recommendation related to residency verifications.Maintains and orders office supplies, computer / AV supplies, and lab coats. Open, sort, review, and distribute mail, and perform all other related duties within the DepartmentPerforms all other duties as assigned.REQUIREMENTS;
Advanced knowledge of office procedures.Excellent organizational and independent follow up skills.Able to handle confidential material and information.Ability to interact and communicate effectively with all levels of employees, managers, administrators, physicians, residents, patients, program participants, and outside / community agency representatives.Must have basic computer skills and ability to access internet and other programs applicable to Waterbury Hospital procedures.High School diploma with three to five years’ administrative experience and / or Associate Degree with 2 to 3 years’ experience in above.PI5ebe4e1eaf80-30511-38547429
