Job Title : Administrative Assistant I Location : San Francisco, CA (Onsite, M–F, 8 : 00 AM – 5 : 00 PM) (SF. Ca. 94102) Duration : 09 / 22 / 2025 – 12 / 12 / 2025 (40 Hrs / Week) Need W2 Position Summary : The position is expected to work independently in supporting the day-to-day activities of the Mail, Archives and Print Services unit. The position is located in the San Francisco office and expected to come into the office M-F, 8am-5pm. The primary responsibilities of this position include functions relating to sorting, organizing and delivery of both incoming and outgoing mail and shipping (includes assistance with large fulfillment orders, printed materials destined for off-site program locations, monthly judicial payroll, reviewing and reconciliation of FedEx invoices, and maintenance of corresponding spreadsheets enabling Accounting to allocate charges to internal divisions accordingly.) In addition to responding to emails, answering the main phone line, greeting & consulting with customers, operation of a pallet jack and coordinated delivery of paper stock to SF office locations, and digitizing / scanning and destruction of hard copy records. Duties and responsibilities include : Sort, organize, and deliver incoming and outgoing mail and shipping, including large fulfillment orders and printed materials for off-site programs. Assist with monthly judicial payroll distribution. Review and reconcile FedEx invoices; maintain spreadsheets to enable Accounting to allocate costs. Operate Pitney Bowes postage meter, pallet jack, and coordinate delivery of paper stock within SF office locations. Digitize / scan records and ensure secure destruction of hard copies. Respond to emails, answer main phone lines, and greet / consult with customers. Provide administrative support as needed to ensure unit efficiency. Required Skills & Qualifications High School Diploma and 1 year of experience in an administrative support role. Ability to work independently with minimal supervision. Knowledge of mail handling and shipping procedures with familiarity with Pitney Bowes postage meter operation, FedEx, UPS, Golden State and other courier services. Excellent customer service and organizational skills. Ability to demonstrate organizational, interpersonal and professional skills. Ability to determine the nature of situations, act resourcefully and quickly to resolve issues. Proficiency in the use of Outlook, Adobe Acrobat, Microsoft Word, and Excel. Ability to communicate clearly, articulately & professionally, in both oral and written communications. Must be flexible, resourceful, and a collaborative team-player who can follow direction well and maintain calm under pressure.
