ABA Documentation Specialist
Position Overview
The ABA Documentation Specialist is responsible for ensuring the accuracy, completeness, and compliance of all clinical documentation within an Applied Behavior Analysis (ABA) practice. This role supports the clinical and administrative teams by maintaining high standards of record-keeping, data integrity, and regulatory compliance to facilitate quality client care and efficient operations.
Key Responsibilities
Documentation & Record Management
- Review and audit session notes, treatment plans, and other clinical documentation for accuracy, completeness, and compliance with funding source and regulatory standards.
- Maintain organized, up-to-date electronic client records within the practice management or EHR system.
- Ensure timely submission and filing of all required documentation (e.g., authorizations, progress reports, assessments, discharge summaries).
- Verify that documentation aligns with the BACB, HIPAA, and insurance / funder requirements.
Compliance & Quality Assurance
Conduct regular internal audits to identify documentation errors or inconsistencies and provide feedback to clinicians.Monitor documentation timelines and follow up with staff to ensure all reports are submitted by due dates.Stay current on payer documentation requirements, compliance regulations, and company policies.Assist with corrective action plans related to documentation deficiencies.Support & Training
Collaborate with BCBAs, RBTs, and administrative staff to promote accurate and efficient documentation practices.Provide training or guidance to team members on documentation standards and updates.Support new hires with onboarding and documentation system training.Administrative Support
Prepare reports and summaries for audits, renewals, or performance reviews as requested.Coordinate with billing and authorizations teams to ensure documentation supports claims submission.Assist in developing and maintaining templates, checklists, and tools to streamline documentation workflows.Education & Experience
Associate or Bachelor's degree in Psychology, Education, Health Administration, or related field (required).1–3 years of experience in ABA, behavioral health, or medical documentation (preferred).Familiarity with ABA terminology, treatment plans, and clinical workflows.Experience with electronic health records (EHR) or practice management systems.Skills & Competencies
Strong attention to detail and organizational skills.Excellent written and verbal communication.Knowledge of HIPAA and clinical documentation best practices.Ability to work independently and manage multiple priorities.Proficiency in Microsoft Office and Google Workspace; experience with systems like CentralReach, Rethink, or Catalyst is a plus.Job Posted by ApplicantPro
