We are seeking a highly skilled and proactive Executive Assistant to support our Enterprise Operations & Supply Chain team. This individual will provide advanced, diversified administrative support to the Executive and the Business Operations team in a fast-paced, dynamic environment.
The ideal candidate is experienced in supporting senior leaders, managing multiple priorities efficiently, and delivering results with a high level of professionalism. Proficiency in Microsoft SharePoint, Excel, PowerPoint, and Outlook is essential for success in this role. This position requires the ability to work a hybrid schedule based out of our Bloomington, MN office.
Role Responsibilities :
- Manage executive and leadership team calendars, including routine communications and scheduling.
- Provide daily coordination and strategic support to the executive and associated teams, adapting to shifting priorities.
- Arrange complex travel logistics, including international itineraries and documentation.
- Plan and execute in-person and virtual meetings / events, handling logistics, agendas, minutes, and vendor coordination.
- Draft correspondence, prepare reports, and lead special projects (e.g., newsletters, SharePoint sites, tours, training).
- Serve as a professional liaison for internal and external stakeholders.
- Compile and analyze data for decision-making, presentations, and reporting.
- Process and manage expense reports for the leadership team.
- Support onboarding, manage office supplies, maintain org charts and distribution lists.
Minimum Qualifications :
High school diploma or equivalent post-secondary and experience4+ years' applicable work experience in Executive Administrative or similarPreferred Qualifications :
Post secondary educationStrong proficiency utilizing Microsoft Office Suite : Word, Excel, PowerPoint, OneNote, and OutlookExperience supporting multiple leaders (this role will be providing primary and ancillary support to about 8 people)Experience utilizing SharePoint for maintaining department web pageExperience working with Concur for travel arrangementsProven track record of maintaining high integrity and confidentialityStrong emotional intelligence, adaptability, and results orientationExperience managing calendars, meeting coordination and travelStrong attention to detail and organizationRelocation : This position is not eligible for relocation assistance.
Hourly Pay Range : $28.84 - $36.44 / hour, depending on relevant experience, qualifications, and skills.
This position is overtime eligible as per state and federal regulations.
