The Executive Assistant’s primary role is to be ‘right hand person’ to the General Manager of the North America region. The ideal candidate will need to understand and manage prioritization of meetings, workload and recommend and administer effective meeting cadence across the local NA Leadership team and external suppliers / retailers.
The role requires a firm understanding of the dynamics of the business and its individual departments, priorities, people, and strategies. The ideal candidate will have excellent organizational and people skills, a determination to make things happen and the initiative to thrive in a fast-paced environment.

Role Accountabilities
Calendar & Inbox Management
- Accountable for the management of General Manager’s calendar and inbox, ensuring time is managed effectively by understanding daily and weekly priorities
- Determine General Manager priorities; make judgement calls on appointments and meetings to maximize reach and impact
- Strategic approach to the use of available meeting hours, managing multiple time zones and recommending efficiencies in meeting regularity and attendance
- Proactively anticipate conflicts as new priorities arise and adjust calendar as needed
- Prioritize inbox, looking ahead to ensure all pre-read and meeting agendas are received, action items are complete, and incoming request are prioritized and surfaced regularly
Travel & Expenses
Manage T&E budgetCoordinate and book international trips and time with regional teams in storeSupport for Global team gatherings and agendasRaise necessary Pos and liaise with the Global Finance Team to ensure timely processing of invoicesProject Management
Take detailed notes during meetings to support key internal and external projectsSupport creation of presentations and delivery of briefing notes to leadershipAssist in large scale North America corporate eventsKey Relationship Management
Identify needs and create efficiencies for General ManagerPartner with global Executive and Administrative support to align on priorities and calendar managementLiaise with Leadership Team to supportRequirements
3+ years of experience in administrative support of at least 1 key leaderProficiency in Microsoft Office SuiteProven ability to convey complex messages succinctly and convincinglyExemplary written and verbal communication skillsCommitment to confidentiality and discretion when handling sensitive information, ensuring utmost privacy of executive-level communication and documentsConsistent ability to manage workload prioritization, long-term projects, and urgency of immediate needsOperate with a high level of emotional intelligence and integrityBenefits
