About the Job
The Executive Assistant & Office Manager is a trusted partner to the Executive Director providing high-level administrative support while ensuring smooth day-to-day operations of the office and program support. This multi-faceted role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities.
The ideal candidate thrives in both supporting executive leadership and creating a professional, welcoming, and efficient office space that enables team members, community partners and board members to do their best work.
Responsibilities
Executive Support
- Provide executive support for the Executive Director, anticipating needs and proactively resolving conflicts
- Serve as the primary point of contact for internal and external stakeholders on behalf of leadership
- Track deadlines, priorities, and follow-up items to ensure timely execution of tasks
- Handle sensitive matters with professionalism and discretion
- Facilitate cross-functional communication and information flow
- Draft, edit and manage email correspondence and internal documents
Office Management
Oversee the daily operations of the office, ensuring a professional, safe, and efficient workspaceManage office supplies, equipment, and vendor relationships (IT, maintenance, utilities, etc.)Support HR functions such as onboarding, maintaining team member files, and coordinating staff training logisticsDevelop and maintain office procedures, policies, and organizational systemsLead efforts to maintain a positive and inclusive workplace culture through thoughtful space management (meeting rooms, sharedspaces, events)
Event & Project Support
Assist in coordinating and support of programs, community events, and team member activitiesSupport grant reporting and administrative compliance as neededProvide logistical support for external and internal activities, program launches, or special projects.Qualifications
Minimum 3–5 years of experience as an Executive Assistant, Office Manager, or in a similar administrative roleNonprofit experience strongly preferredStrong organizational, multitasking, and project management skillsExcellent written and verbal communication skillsHigh level of professionalism, discretion, and judgmentProficiency with office software (CRM, Microsoft Office Suite, Google, Workspace, project management tools)Ability to work both independently and collaboratively with diverse teamsBenefits
