Weekly / Monthly Responsibilities
Keep exam rooms clean, organized, stocked, and compliant with infection control standards.
Assist the Clinical Manager with special projects, including EHR initiatives and reporting tasks.
Daily / Weekly Responsibilities
Provider and Schedule Support
Maintain regular communication with providers regarding office and rounding schedules.
Adjust patient appointments as provider availability changes.
Track upcoming provider schedules and vacations; proactively update the business office, front desk, and NP schedulers.
Pre-Visit and EHR Preparation
Prepare patient charts in the EHR ahead of visits.
Contact patients to confirm lab work is completed and recorded in the system.
Request and organize records from hospitals, physician offices, imaging centers, and specialists.
Clinical Communication
Relay patient inquiries from voicemails and patient portals to providers.
Partner with the NP scheduler and providers to prioritize appointments based on clinical needs.
Results and Orders Management
Review incoming labs, reports, and orders in the EHR daily.
Escalate urgent or critical results immediately to providers.
Ensure timely follow-up and documentation for all results.
Manually enter labs not received electronically.
Create lab requisitions and procedure orders as needed.
Access and print records from hospital portals.
Diagnostics and Follow-Up
Schedule diagnostic imaging (CT, MRI, ultrasound) and obtain prior authorizations.
Track and confirm receipt of imaging results.
Order and monitor Aranesp / Procrit per protocol.
Admit patients to the hospital when required.
Coordinate dialysis referrals and specialty care referrals.
Communication and Phone Management
Record and update the daily voicemail greeting with instructions for patient inquiries.
Document all phone conversations in the EHR.
Answer, transfer, and manage incoming calls appropriately.
Appointment Management
Schedule appointments, recalls, and maintain accurate patient demographics in Allscripts PM.
Cancel or reschedule appointments as needed and monitor schedules for accuracy.
Manage overbook and add-on appointments.
Prescription Management
Process prescription refills through eScribe.
Submit new prescriptions electronically as directed.
Overview
Certified Clinical Medical Assistants must maintain active certification in compliance with current government regulations related to Electronic Health Record (EHR) usage. In this role, the CMA provides support to physicians during rounding and rotations, assists with clinical inquiries from patients, staff, and providers, and collaborates closely with the Nurse Practitioner Provider (NPP) and Clinical Manager. The CMA will also provide support to DPC as needed.

Nice to Have Skills
Previous experience in a multi-specialty or hospital-based clinic .
Knowledge of prior authorizations , referrals, and insurance requirements.
Familiarity with lab and diagnostic test ordering workflows .
Soft Skill / Attribute Requirements
Communication - Ability to clearly and compassionately communicate with patients, providers, and staff.
Empathy and compassion - Showing care and understanding when working with patients who may be anxious or unwell.
Teamwork - Collaborating effectively with providers, nurses, and administrative staff.
Core Hours : 8 : 30 am - 4 : 30 pm (30 Minutes for lunch)
