Workplace Frontend Coordinator
As the Workplace Frontend Coordinator, you'll be the owner for all workplace experience throughout the day in our HQ locations. You'll own the day-to-day of how the office looks, be the go to for the flow of each HQ space, and the experience of all users and guests in the space. You'll work closely with the facilities / backend team to resolve open tickets quickly.
This role is ideal for someone who's highly organized, thrives in a fast-paced environment where no day is the same, and loves creating exceptional experiences.
At Applied Intuition, you will :
- On-site Food : Coordinate the on-site food vendor and deal with any issues that arise; ensure kitchens are working, restocked and efficiently organized
- Visitor Experience : Ensure a seamless and safe visitor experience from arrival to departure
- Ambiance and Aesthetics : Help execute the look and feel of the offices and garages including plants, furniture, decorations, and organization for flow
- Event Management : Create thoughtful, memorable moments for people on-site guests, supporting internal events, and partnering with the food vendor on special menus and surprise-and-delight experiences that bring energy to the workplace; assist in executing larger events to meet its goals
- Space Planning : Help execute moves and communicate plans with all relevant parties
- Cross-Functional Collaboration : Work closely with Workplace Backend and IT to ensure smooth, day-to-day operations
- Vendor Relations : Manage external vendors to ensure high-quality service delivery, holding them accountable while optimizing costs and performance
- Process Improvement : Build out and update documentation and SOPs
- Project Ownership : Kick-off workplace-related projects, handle requests, and manage ticketing to ensure timely resolution and continuous improvement
We're looking for someone who has :
3+ years in event and facility managementHands-on Skills : Ability to physically address maintenance tasks, organize spaces, and ensure operational efficiencyAttention to Detail : Strong focus on cleanliness, organization, and operational precisioneven down to the smallest details like dust and misplaced cablesAccountable Team Player : Ability to be a self-starter who takes ownership of tasks, follows through to completion, and proactively seeks help and feedback to improve outcomesMultitasking & Pressure : Demonstrated ability to manage competing priorities and work effectively under pressure in a fast-moving environmentVendor Management : Proven track record of managing third-party vendors and ensuring accountability, cost-efficiency, and service qualityActive Communicator Across-Departments : Experience working across teams (engineering, IT, operations) and managing complex problems with multiple stakeholders. Ability to solve issues and communicate effectively.Process Development : Experience creating scalable processes and automating workflows to improve efficiency and consistencyCost-conscious : Ability to creatively find sustainable and efficient ways to save money, identify cheaper alternatives and out of the box thinking to all tasksCompensation at Applied Intuition for eligible roles includes base salary, equity, and benefits. Base salary is a single component of the total compensation package, which may also include equity in the form of options and / or restricted stock units, comprehensive health, dental, vision, life and disability insurance coverage, 401k retirement benefits with employer match, learning and wellness stipends, and paid time off. Applied Intuition pay ranges reflect the minimum and maximum intended target base salary for new hire salaries for the position. The actual base salary offered to a successful candidate will additionally be influenced by a variety of factors including experience, credentials & certifications, educational attainment, skill level requirements, interview performance, and the level and scope of the position.
