About the role

As a CBRE Administrative Services Coordinator, you will provide administrative support to a department or manager. They are responsible for providing administrative support to areas of the business including operations, teams, job functions and senior management.

This is an onsite role Monday-Friday from about 7am-3 : 30pm in Malta, IL.

What you'll do

  • Perform administrative duties including conducting research, updating databases, and preparing collateral materials for mass mailings. Will support some meetings & events onsite and coordinate catering.
  • Answer and route calls to appropriate personnel or voicemail. Respond to routine inquiries and provide information about the organization. Maintain confidentiality of all calls and information.
  • Issue visitor's passes, validate parking and maintain guest logs.
  • Assist with scheduling meetings and preparing conference rooms. Maintain reception area, conference rooms, and kitchen areas.
  • Interact with vendors for events and coordinate setup in conference rooms.
  • Write routine reports and correspondence and respond to common inquiries or complaints from clients, coworkers, and supervisors.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Deliver own output by following defined procedures and processes under close supervision and mentorship.

What you'll need

  • High School Diploma or equivalent experience or GED with up to 2 years of job-related experience.
  • Experience with crafting Purchase Orders and
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc. PowerPoint and OneNote preferred.
  • Strong organizational skills with an inquisitive mentality.
