Job Title : Administrative Assistant.

Department : Ewing - Towing – Fleet Maintenance.

Manager : Fleet Manager.

FLSA Status : Non- Exempt .

Summary :

The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

Essential Duties and Responsibilities include the following :

  • Other duties may be assigned.
  • Learn computer software and adapt to new technology.
  • Create and maintain departmental files, both electronic and paper (when necessary).
  • Excellent interpersonal and communication skills (both written and verbal) when dealing with company / client relationships.
  • Invoice / Work Order reconciliation required.
  • Excellent organizational and time management skills, including the ability to prioritize and multitask effectively.
  • Seeking a self-motivated individual with the ability to work independently.
  • Attention to detail and follow-through on all tasks.
  • Data entry, document scanning, and printing.
  • Answers and transfers phone calls, screening calls when necessary in an efficient, professional, and courteous manner.
  • Welcomes and directs vendors, drivers, and other site visitors as needed.
  • Maintains filing systems as assigned.
  • Retrieves information as requested from records, emails, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolve administrative inquiries and questions.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Maintains a system for recording expenses and the use of petty cash.
  • Performs other related duties as assigned.

    To perform this job successfully, an individual should have experience with Microsoft Office software. Intermediate to advanced skills in Microsoft Excel are a MUST.

    Certificates, Licenses, Registrations : None is required for this role.

    Education and / or Experience :

  • 1-2 years of related experience preferred but not required.
  • High school diploma or GED.
  • Language Skills :

    Ability to effectively present information and respond to questions from manager(s) / Supervisors, clients, customers, and the general public.

    Mathematical Skills :

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

    Reasoning Ability :

    Ability to solve practical problems and deal with a variety of concrete variables.
